Job Description

QUALIFICATIONS:

  • Minimum 3 years of related office experience with school office experience preferred.
  • High level of experience with and competence of on-line data management system(s).
  • Working knowledge of computers and computer software especially the Microsoft Office Suite and Google Apps.
  • Ability to handle confidential information.
  • Ability to work independently and as part of a team.
  • Responsibility of employee to obtain and maintain all training(s) certificate(s) approval(s) etc. and provide documentation to the business office before expiration of said document(s).
  • Must be able to lift up to 20 pounds.
  • Required to have a physical presence at the designated job site each scheduled work day.
  • Must have regular and reliable job attendance performance and the physical ability to do the job.

PERFORMANCE RESPONSIBILITIES:

  1. Ensure the ISD Administration Office front desk is covered at all times in cooperation with other office assistants.
  2. Serve as the ISD Director of First Impressions which includes assisting parents visitors and staff in a professional manner in person and on the phone.
  3. Assist with maintaining a safe and secure environment in the ISD Administration Office including closely monitoring the front doors.
  4. Change voicemail greetings for holidays office closings staff meetings and summer hours.
  5. Coordinate the ISD room reservation system in a timely and accurate manner. This includes ensuring room reservations are reviewed/approved room needs are met and the annual common meetings process is complete.
  6. Maintain updated workshop boxes in the conference rooms.
  7. Provide assistance with mailings and special projects for Special Education Supervisors Monitor ancillary staff and early childhood staff as needed.
  8. Scan and upload documents into Kelvin in a timely manner ensuring signature pages are included.
  9. Provide list of student caseloads and deadlines to ancillary staff and local districts as needed.
  10. Process Social Security requests and Family Support Subsidy requests.
  11. Process Release of Information (ROI) and Medical Verification student forms for ancillary staff.
  12. Provide CTE staff with copies of IEPs for students with disabilities who are enrolled in CTE programs.
  13. Verify dates are correct for initial REEDs and input dates into Kelvin to help determine timeliness of IEPs.
  14. Forward all faxes to the appropriate staff or department.
  15. Complete required items on the new employee checklist in a timely manner.
  16. Maintain an up-to-date ISD Directory and Extension List (including annual directory update with local districts).
  17. Organize Theme Dress Days and make flyers collect donated money and submit to Business Office.
  18. Collect ISD Champion nominations monthly and randomly select winner and submit to Business Office.
  19. Review and update Emergency/Safety Flipcharts throughout the school year in coordination with the Superintendent Business Office and School Resource Officer.
  20. Catering:
    1. Maintain up-to-date records on catering food licenses and keeping catering document up to date.
    2. Confirm when food is delivered for meetings/trainings
    3. Cleaning up food from meetings/trainings
    4. Maintaining left over food and the area it is stored in
  21. Common Office Supplies:
    1. Daily: check that supplies are stocked for staff
    2. Daily: check paper quantity and submit maintenance request when more is needed
    3. Weekly: check supplies in workroom closet and make a list of items needed to order
  22. Assist and back-up other ISD office assistants as needed.
  23. Perform other duties as assigned by St. Joseph County ISD Administration.

REPORTS TO: Superintendent

PERFORMANCE APPRAISALS: Superintendent

TERMS OF EMPLOYMENT: A 240-day position. Salary and conditions of employment are determined by the Board of Education.
