We are seeking an Office Specialist (Office Specialist 2) Bilingual English/Spanish preferred to join our dedicated Aging and People with Disabilities (APD) team in Hillsboro.

Summary of Duties
Aging and People with Disabilities:

The services provided help people access the supports they need to live their best lives in the communities they choose and at every stage of life.
As an Office Specialist you will:
Serve as the primary front desk receptionist providing courteous and efficient assistance to both telephone callers and walk-in clients.
Answer incoming calls determine nature of contact and provide information route calls to appropriate staff forward calls to Voice Mail when staff is unavailable.
Assess walk-in clients and telephone callers to determine service needs through effective communication.
Refer individuals to appropriate community resourcesincluding local state and federal agenciesusing designated referral forms and knowledge of available support networks.
Provide clerical support to case managers and eligibility staff including filing client information preparing and labeling case files and performing data entry.
Minimum Qualifications
Two years of general clerical experience that includes keyboarding word processing or other experience generating documents; OR
An associate degree in any field;OR
An equivalent combination of education and experience.
Essential Attributes
We are looking for candidates with:
Experience in scheduling appointments for individuals in crisis within high-volume environments managing competing deadlines with efficiency and sensitivity.
Experience working in high-stress environments requiring de-escalation skills to manage emotionally charged situations and maintain safety for clients and staff.
Experience gathering client information through interviews and intake processes to assess needs and match individuals with appropriate services and resources.
Experience learning and adapting to new tasks workflows and computer systems with minimal supervision demonstrating quick uptake and consistent accuracy.
Experience with clerical support tasks including filing organizing case files labeling and performing accurate data entry.
Experience with providing front desk reception services assisting walk-in clients and telephone callers with professionalism and efficiency.

Working Conditions
Work Locations: Aging and People with Disabilities Office in Hillsboro.
Hours: Work schedule is primarily 8:00 a.m. 5:00 p.m. Monday Friday in-person and on-site each workday at the Hillsboro ODHS office. Overtime may be offered but is not required including evenings or weekends.
Travel: Occasional travel for meetings trainings and other related activities.
This role involves handling sensitive topics related to trauma abuse and crises requiring a trauma-informed approach that is essential to ensure a safe environment.
You may interact with individuals who have experienced trauma and may have difficulty managing their emotions.
Be prepared for stressful situations that require quick decision-making to ensure safety for yourself and others.
