Nutreco is looking for a dedicated Management Assistant to support our COO Trouw Nutrition and our Innovation Director.
As a Management Assistant you will play a pivotal role in ensuring the smooth day-to-day operations of the leadership teams. Your responsibilities will include managing complex calendars handling administrative tasks (including preparing PowerPoint presentations) coordinating events arranging travel and preparing addition you will take on specific projects conduct research when necessary and provide high-level confidential support. You will work closely with the team of other management board assistants to deliver seamless support across the organization.
About The Role of the Management Assistant
Responsibilities:
- Calendar management: Oversee complex diary management ensuring effective prioritization of time-sensitive matters.
- Meeting and event coordination: Organize meetings including preparing agendas booking venues and arranging catering and travel logistics.
- Document preparation: Create format and distribute documents reports and presentations using a variety of software.
- Travel arrangements: Coordinate domestic and international travel ensuring all aspects are efficiently managed.
- Project management: Lead or assist in specific projects providing research and ensuring timely execution.
- Administrative support: Maintain databases and administrative processes to ensure alignment with organizational needs.
- Communication: Act as the first point of contact for inquiries responding professionally and directing matters to relevant colleagues when necessary.
Skills and ExpertiseQualifications:
- 6 years of professional working experience in an administrative role reporting directly to senior/board management.
- Excellent written and verbal communication skills (in Dutch and English).
- Collaboration and teamwork with a great and close group of Management Assistants within Nutreco virtual and physical with global scope.
- Strong time-management skills and an ability to organize and coordinate multiple projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexibility and the ability to independently see(k) the needs necessary and where to step in.
- Willingness to travel abroad if needed / kindly requested.
- A can do mentality combined with great communication skills.
Expectation from Role:
To succeed in this role you must demonstrate strong collaboration skills the ability to working closely with other management assistants (across the globe) to ensure seamless coordination across departments and regions. You handle confidential information with integrity and professionalism while maintaining adaptability to manage dynamic ad-hoc tasks. Excellent prioritization and accountability are essential allowing you to efficiently distinguish between urgent and important matters while holding yourself and others to high standards. You communicate effectively tailoring messages to various audiences and proactively plan and align your workload with organizational goals. Additionally you possess the courage to address challenging issues and continuously optimize processes for greater efficiency going forward. You will be the spider in the web the person to go to and the one that is keeping topics on track proactively and responsibly.
