The Agent Project Coordinator will be responsible for helping Equipment Agents deliver equipment to our customers in a way that is profitable and creates a positive Agent and end customer experience for all projects that are sold in a given footprint. Reporting to the Area Operations Manager this person will ensure cost effective delivery of equipment while creating excellent relationships with our customers.
The positions objective is to accomplish these responsibilities in such a way that the Agents needs are met with no hazards to personnel and equipment and corporate financial objectives are achieved.
Working closely with JCI Sales Agents this person will alert Agents to potential problems with schedule cost safety quality and other expected results. This position will interact with our suppliers agents customers and internal manufacturing representatives to insure revenue generation and high levels of customer satisfaction (both internal and external customers). They will execute project backlog reviews with their assigned agent teams to ensure backlog integrity and turn rates for any given month or quarter.
This role will focus on driving revenue for Agent partners within their assigned region. They will identify and recognize additional revenue opportunities by working closely with the Agents and the plants shipping schedules. They will identify cost pick up opportunities for the Agents that will result in margin gains monthly for the equipment business. Additionally they will work closely with and lead the agent invoicing initiatives for their area of responsibilities.
Principal Duties:
Methodology Basic understanding of Project Management methods including key knowledge areas: Integration Scope Time Cost Quality Human Resources Communications Risk and Procurement Management. Communication/Coordination -Acts as the primary internal project manager on large projects that are being executed by Agents in a geographic area. Will be responsible for overseeing JCI financial results on these jobs and identifying and mitigating risk on these high risk projects. Financial expectations could exceed management of up to $5 Million projects.
Reporting updates required sales and operations reports as requested (i.e) SR tracking general margin tracking and shipment trackers.
Subcontracting Negotiates and Issues subcontracting documentation as needed for contracts working with procurement and the agent to ensure all process and policy is followed.
Works with Sales Management to understand account specific needs and logistics needs. Involved in pre-bid cost reviews account management and sales pipeline discussions with Agent and Equipment AGMs. Ensure costs needed to perform the work is included in the job prior to booking. Ensure costs not needed to execute the job are removed as early in the job cycle as possible .
Fiscal Responsible for tracking projects expenditures and installation progress through reviews of status reports prepared by agents. Identifies possible cost savings or overruns to management for further action. Will be responsible for understanding internal Johnson Controls and external client cost structures using AIA monthly Credit & Legal holds to ensure shipments are not delayed.
Customer Service Provide responsive concise and professional support to all customers and other personnel and ensures timely follow-up on all customer concerns and issues.
Working in conjunction with the agent identify customer requests that are outside of our contracted scope of work and prepare Change Orders to allow JCI to perform that work. Ultimately helping the agent and JCI to improve the margin on any given job and mitigate cost impacts to JCI.
Coordinates with Sales Agents HVAC Equipment & Operations Managers Construction Management Services and HVAC Installation Manager Systems Team Leader Service Operations Manager and / or Branch Mechanical Project Team Leader for allocation of resources needed to meet project objectives. Ensures any engineering and commissioning performed by the field team is in accordance with established standards. Facilitates escalation of product related problems.
The successful candidates career path could lead to dedicated project management on highly complex and high $ projects.
Coordinates title transfers with Finance team and works with support to process cost transfer.
Help the agent work with Global Products on Special Quotations and other submittals to ensure timing delays are minimized and that customers receive their deliverables in a timely manner. Identify and escalate delays as needed. Support Dispute Resolution when requested by the HVAC EQ Management support and AR Collectors ACM or the Dispute team.
Provides training and guidance to the Agent employees on JCI HVAC EQ process and policy.
Requirements:
This position requires a minimum of bachelors degree with equivalent work experience of at least 5 years.
Candidates must have 5 years of experience in the HVAC equipment & construction industry.
Candidates must have 2 years of project coordination or project management experience.
Preferred candidates will have a Construction Management degree and 2 years of work experience.
Effective verbal and written communication skills with both internal and external customers.
Adept at working in a fast-paced customer-oriented environment
Demonstrated time management organizational and conflict resolution abilities
Travel is not required.
Full appreciation of Computer based engineering tools as well as computer support systems in an office environment. Proficient in Microsoft Suite Applications (Word Excel Access & PowerPoint) as well as Internet software and E-mail is required.
