Job Description

Summary:

A precision manufacturing company is looking to hire Accounts Payable / Accounts Receivable & Administrative Assistant to join their team. This role is responsible for supporting both accounting and administrative functions ensuring accurate financial processing and providing professional front-office support. The ideal candidate is organized personable and skilled in handling multiple responsibilities.

Responsibilities:

* Manage AP/AR processes
* Perform data entry for AP and AR transactions
* Process invoices for payment and resolve discrepancies promptly
* Communicate with vendors regarding billing issues and payment status
* Reconcile statements and maintain accurate records
* Create and maintain spreadsheets using Microsoft Excel (basic formulas inserting rows/columns)
* Greet visitors and maintain a professional reception area
* Coordinate office needs such as ordering supplies and preparing conference rooms for meetings
* Scan and organize documents for internal departments
* Manage email communications using Microsoft Outlook for internal staff and external customers


Qualifications:

* Previous AP/AR experience required (processing invoices resolving issues reconciling statements)
* Proficiency in Microsoft Excel (basic formulas and spreadsheet management)
* Experience with Microsoft Outlook and Word
* Experience using ERP systems to manage AP/AR processes
* Strong organizational and multitasking abilities
* Professional and personable communication skills (verbal and written)
