What youll be doing:
- Manage calendars schedule virtual and in-person meetings coordinate travel and monitor emails/voicemail
- Prepare agendas take minutes track action items and follow up as needed
- Draft proofread and edit correspondence reports presentations and meeting materials
- Maintain staff and physician schedules on-call rosters and time-off tracking
- Serve as the main point of contact for internal and external stakeholders (e.g. hospital leadership physicians committees community partners)
- Triage inquiries assess urgency and escalate to leadership as appropriate
- Coordinate with McMaster University for medical student and resident placements
- Organize educational sessions Grand Rounds guest speakers and other events
- Book meeting rooms and community venues; arrange catering materials and logistics
- Support special projects presentations and quality improvement initiatives
- Maintain and update policies procedures intranet content and distribution lists
- Process purchase orders manage office supplies arrange conference registrations and reconcile expense claims
- Support credentialing security (e.g. key control) and confidential document management
- Assist with relocation safety inspections mail distribution and general office tasks such as filing scanning photocopying
- Work closely with the Chief Directors and Management Team to ensure smooth day-to-day operations
- Provide backup support to other administrative staff as needed
What were looking for:
- Post-secondary education in a relevant field
- 3 years experience in an administrative role supporting Management
- Knowledge experience and the confidence to work independently
- Excellent Microsoft Office Suite skills with demonstrated ability to produce creative PowerPoint presentations
- Understanding of Medical Terminology and Virtual Technology such as TEAMS ZOOM WEBEX etc.
- Polished written and verbal communication skills
- Strong problem-solving skills; diplomatic analytical and detail oriented
- A great work ethic and commitment to excellence
- Team player with a positive outlook and good sense of humour
- Working knowledge of Showcase and AS400 would be an asset
