Job Description

As an Administrative Assistant you will be an integral part of a collaborative team focused on delivering seamless services and programs to our clients and customers. If you are looking for a company that is constantly moving forward in pursuit of successful outcomes get ready to love it here!

What youll be doing:

  • Manage calendars schedule virtual and in-person meetings coordinate travel and monitor emails/voicemail
  • Prepare agendas take minutes track action items and follow up as needed
  • Draft proofread and edit correspondence reports presentations and meeting materials
  • Maintain staff and physician schedules on-call rosters and time-off tracking
  • Serve as the main point of contact for internal and external stakeholders (e.g. hospital leadership physicians committees community partners)
  • Triage inquiries assess urgency and escalate to leadership as appropriate
  • Coordinate with McMaster University for medical student and resident placements
  • Organize educational sessions Grand Rounds guest speakers and other events
  • Book meeting rooms and community venues; arrange catering materials and logistics
  • Support special projects presentations and quality improvement initiatives
  • Maintain and update policies procedures intranet content and distribution lists
  • Process purchase orders manage office supplies arrange conference registrations and reconcile expense claims
  • Support credentialing security (e.g. key control) and confidential document management
  • Assist with relocation safety inspections mail distribution and general office tasks such as filing scanning photocopying
  • Work closely with the Chief Directors and Management Team to ensure smooth day-to-day operations
  • Provide backup support to other administrative staff as needed

What were looking for:

  • Post-secondary education in a relevant field
  • 3 years experience in an administrative role supporting Management
  • Knowledge experience and the confidence to work independently
  • Excellent Microsoft Office Suite skills with demonstrated ability to produce creative PowerPoint presentations
  • Understanding of Medical Terminology and Virtual Technology such as TEAMS ZOOM WEBEX etc.
  • Polished written and verbal communication skills
  • Strong problem-solving skills; diplomatic analytical and detail oriented
  • A great work ethic and commitment to excellence
  • Team player with a positive outlook and good sense of humour
  • Working knowledge of Showcase and AS400 would be an asset
