JOB DESCRIPTION

JOB TITLE:Executive Administrative Assistant- Officer

REPORTS TO:Information Technology Officer

WAGE/HOUR STATUS: Non-Exempt

PAY GRADE:Para 9

PRIMARY PURPOSE:

The Executive Assistant is responsible for supporting the Information Technology Officer in the daily operation of the office as well as the planning implementing directing and maintaining of District programs by providing a wide variety of complex and confidential executive administrative and secretarial support; analyzing requests providing recommendation for action and communicating information on behalf of Information Technology to internal and external customers.

QUALIFICATIONS:

Required:

  • HS Diploma /GED
  • Three years of progressively responsible executive administrative and secretarial work experience including at least two years providing support to senior and/or executive level public school administration or related experience

Preferred:

  • Bachelors Degree from an accredited College or University

SPECIAL KNOWLEDGE/SKILLS:

  • Proficiency in the use of Microsoft Word Excel and PowerPoint.
  • Proficiency in general office skills including office management and organization
  • Excellent proofreading and grammatical skills
  • Self-motivated with strong communication and interpersonal skills
  • Demonstrated ability to prioritize tasks and coordinate multiple projects
  • Demonstrated strong work ethic and ability to meet assigned deadlines
  • Experience with work order management systems.

MAJOR RESPONSIBILITIES AND DUTIES:

  • Manage special projects work in an efficient and organized manner including an organized information system for maintaining paper and data information files.
  • Receive and screen communications including telephone calls mail and email messages using independent judgment to determine priority attention; researches and responds to communications as appropriate.
  • Maintain a schedule of appointments and meetings including reminders as appropriate.
  • Accurately produce documents presentation materials and reports.
  • Compose basic business correspondence.
  • Maintain confidentiality of information and data related to office operations.
  • Maintain regular prompt and reliable attendance.
  • Prepare purchase requisitions submit purchase orders to vendors process invoices and close purchase orders for department.
  • Monitor track expenditures and reconcile budget activity.
  • Maintain department calendars.
  • Maintain attendance records for department personnel.
  • Process mileage and reimbursement claims for department personnel.
  • Maintain schedule of Technology conference rooms.
  • Schedule trainings conferences and travel for department personnel.
  • Order department related purchases including supplies hardware software and parts.
  • Prepare payroll transmittal.
  • Perform other duties as assigned.

WORKING CONDITIONS:

The usual and customary methods of performing the jobs functions require the following physical demands: some lifting carrying pushing and/or pulling; and significant fine finger dexterity. Heavy telephone responsibilities; frequent interruptions; maintain control in stressful situations; prolonged use of computer; occasional prolonged and irregular hours.
