Job Description

This is a remote position.

Schedule: Flexible hours

Client Timezone: Brisbane AEST

Total Weekly Hours: 20 hours


You ll manage the behind-the-scenes operations that keep the business running smoothly from setting up efficient booking and client onboarding systems to running ads and ensuring emails website and funnels are functioning seamlessly. You ll be the go-to person for turning ideas into functional polished and automated systems.


Key Responsibilities

Tech & Systems Setup

  • Set up and maintain online booking forms payment gateways and client intake forms on Squarespace (or other integrated tools).

  • Ensure all booking confirmations reminders and follow-ups are automated and branded.

  • Integrate the website email marketing platform and social media for seamless lead capture.

  • Create and organize templates checklists and SOPs to simplify recurring tasks.

Digital Marketing Support

  • Plan run and optimize Meta (Facebook/Instagram) Ads and Google Ads to drive leads for RTT sessions courses and freebies.

  • Monitor ad performance and report results weekly.

  • Repurpose existing content into ad creatives and campaigns.

  • Assist with SEO optimization for the website to increase organic leads.

Email Marketing & Funnels

  • Set up email automations for new leads course buyers and clients (welcome sequences nurture campaigns upsell offers).

  • Design and format emails in alignment with the brand voice.

  • Track and report on email performance (open rates click-through rates conversions).

Content & Course Support

  • Turn course outlines and raw material into formatted PDFs workbooks and slide decks.

  • Upload and organize course materials into platforms (e.g. Kajabi Teachable Thinkific TBD).

  • Create lead magnet pages for free downloads and integrate them into email funnels.

Client Engagement & Admin

  • Monitor DMs emails and website inquiries respond or escalate as needed.

  • Maintain a friendly professional brand voice in all client-facing communication.

  • Ensure all clients receive a seamless experience from first contact to post-session follow-up.



Qualifications

  • Proven experience as a VA marketing assistant or business support professional

  • Strong knowledge of Meta & Google Ads

  • Squarespace website management experience

  • Familiarity with email automation tools (Mailchimp Flodesk ActiveCampaign or similar)

  • Good design skills for creating PDFs slides and ad creatives in Canva

  • Strong organizational skills able to manage multiple projects efficiently

  • Self-motivated and proactive able to take an idea and run with it

  • Can take half an idea instructions and turn it into a fully implemented process

  • Thrives on autonomy but communicates clearly

  • Comfortable with a flexible varied role in a small business environment
