We re looking for an Executive Assistant and Team Administrator to support the CEO while also enabling the wider recruitment team. You ll play a key role in recruitment research by mapping senior-level talent and preparing structured reports that drive high-level hiring this blended role you ll also manage diaries travel and professional documents coordinate events and operations and provide marketing support.
What You ll Do
Executive Support
- Manage the CEO s diary including scheduling meetings coordinating travel and preparing briefing materials.
- Take clear and concise meeting notes track action items and ensure follow-through.
- Draft proofread and format documents presentations and reports to a professional standard.
Team Administration & Operations
- Support marketing with event planning booking venues coordinating suppliers and managing guest lists.
- Book flights accommodation and transport for the team.
- Maintain organised records files and databases.
- Assist with reporting tracking KPIs and preparing internal updates.
Recruitment Research Support
- Conduct targeted research to identify and map senior-level talent including Medical Directors C-suite executives and specialist doctors.
- Source and verify contact details locations and career backgrounds.
- Provide accurate well-structured research reports to Executive Recruiters.
Requirements
What You Bring
We re looking for someone who:
- Minimum 3 5 years in an Executive Assistant Team Administrator or similar coordination role ideally within a professional services or recruitment environment.
- Strong research skills with experience in candidate mapping market intelligence or similar.
- Demonstrated ability to manage multiple priorities with exceptional attention to detail.
- Excellent written and verbal communication skills with the ability to adapt tone and style for different audiences.
- Advanced Microsoft Office and/or Google Workspace skills confident with online collaboration tools.
- Highly organised with exceptional follow-through.
- Comfortable communicating across all levels from internal teams to high-profile clients.
- Discreet and trustworthy with a high level of professionalism.
