We are looking for a document control advisor to join the operations support team in the Energy and Resources sector.
In this role you will be responsible for managing technical and administrative documentation related to engineering projects. You will contribute to the implementation and improvement of document management practices working closely with project teams. You will also participate in assessing needs and finding solutions for projects involving the implementation and maintenance of document management systems both internal and external.
We offer a flexible hybrid work model that allows you to work from home and from one of our offices in Quebec.
Principal responsibilities
- Organize the processes for receiving transmitting coding classifying and archiving project-related documents.
- Manage document transmission between CIMA clients (particularly Hydro-Qubec) and suppliers.
- Use and configure internal and external document management systems and platforms.
- Ensure control of document versions statuses and validation deadlines.
- Develop and implement procedures and solutions tailored to specific project or client needs.
- Work closely with teams to ensure that documentation effectively supports project execution.
- Prepare and maintain document tracking and control records.
- Train and support teams on best practices and document management tools.
- Ensure the security confidentiality and compliance of documents according to internal and client standards.
- Conduct periodic document management audits and recommend improvements.
Qualifications :
- College or university degree in information management information science related field or equivalent relevant experience.
- Minimum 3 years of experience in document management ideally in engineering projects.
- Strong organizational skills attention to detail and thoroughness.
- Proficiency in document management standards and best practices.
- Excellent collaboration and customer service skills (internal and external).
- Autonomy priority management and ability to work under pressure.
- Fluency in French and English both spoken and written; bilingualism is an essential requirement for this position in order to communicate effectively with a wide range of stakeholders including our clients partners and cross-sector teams nationwide.
