The NYC Department of Design and Construction is seeking a Community Associate to work in the Operations Division as the Supervisor of Reproduction & Mailroom. The selected candidate will be expected to do the following:
-Perform daily reproduction and mailroom tasks.
-Oversee the reproduction staff and day-to-day operation of high-volume copying printing finishing binding lamination and other printing service processes for the agency.
-Ensure that all documents for a printing assignment have careful review.
-Oversee the mailroom staff and the handling of incoming and outgoing mail and packages ensuring reliable customer service.
-Provide oversight to ensure that staff receive proper training that copier printer and related peripherals are used and maintained correctly.
- Ensure that staff follow established equipment policies and procedures efficiently.
- Review incoming deliveries of toner paper and binders and maintain accurate inventory records. Submitting requests to purchase supplies.
-Ensure efficient production processes and quality checks on work in progress.
-Responsible for budgeting and submitting purchasing requests to procurement for supplies for mailroom and reproduction ensuring that all records are accurate.
-Maintain and monitor the quality of productivity making sure deadlines are met and maintaining the quality of order.
-Work with the various units within DDC to meet requested reproduction orders and timelines.
- Address all customer inquiries by communicating and coordinating with other divisions. The supervisor is responsible for maintaining accurate records and staying up to date on postal regulations to ensure staff deliver packages on time.
-Serve as the Agency Lead Operator in special projects and with other units in the division. Assist the Senior Deputy Director in compiling daily and monthly production numbers for reporting.
-Provide archival training and support to staff ensuring best practices in record handling and management.
-Assist with special projects involving historical and archival documents and contribute to initiatives within the Operations Division.
- Receive incoming project files such as contract books change orders drawings and payment records accurately categorize them in the DDC Records Management Database and develop electronic links for retrieval requests.
-Create prepare and maintain existing and new excel spreadsheets for reporting as well as maintain program-related database(s).
-Respond to emails meeting requests and telephone inquiries.
-The candidate will use several computer printing and scanning systems including Microsoft Excel PowerPoint OCE 500 & 750 Plotter Xerox Prime Link B9125 Booklet Finisher and Canon89051 Image Runner Advance.
