Job Description

This is a remote position.

JOB SUMMARY:

The Admin Assistant is responsible for supporting both the Fraser Foundation and The Scholars Group s childcare operations. This role is designed for someone who enjoys detail-oriented process-driven work and is motivated by supporting meaningful education outcomes.

The candidate must have strong verbal and written communication skills - effective interaction resourceful and able to find solutions independently anticipating challenges and proactively addressing them can be trusted to handle information maintain confidentiality and consistently deliver quality work.

KEY RESPONSIBILITIES:

  • Manage and monitor two inboxes (scholarship applications and general queries)

  • Follow up with applicants on incomplete information and outstanding requirements

  • Liaise with universities to obtain transcripts statements of account and enrollment confirmation

  • Enter and maintain data in a central CRM (Salesforce or similar)

    • Includes transferring current and retrospective records into the system

  • Prepare summary documents for the board on each intake (4 intakes per year)


  • Track compliance of existing scholars (e.g. proof of enrollment course completion before releasing next funding tranche)

  • Send applicant and scholar communications via email and text (phone calls not required)

  • Build and maintain database lists: universities RTOs webinar attendees prior applicants

  • Provide webinar support including managing Q&A




Requirements

SKILLS:

  • CRM management (Salesforce or equivalent)

  • Data entry and database management (Excel Google Sheets etc.)

  • Experience with learning management systems

  • Proficiency with Microsoft Office and/or Google Workspace tools

  • Familiarity with text-based communication platforms (e.g. SMS platforms Teams Slack)

At least 4 + years experience in executive assistant or in a similar administrative role Experience with an Accounts Administration Role Proficiency in office software and productivity tools. Quickbooks Experience. Ability to work independently and collaboratively Desired Skills or Qualifications: Intermediate MS Excel and MS Word Certification Strong organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Prior experience in rental properties a plus
