Job Description

Job Title: Administrative Coordinator Contractor & Shift Management (Healthcare)

Overview
We are seeking an experienced Administrative Coordinator to support a PRN healthcare staffing project focused on providing Athletic Trainers (sports medicine professionals) to partner organizations. This role involves managing contractors posting shifts tracking work hours and supporting contractor payments and incentives through specialized workforce management software.

Key Responsibilities

  • Manage scheduling and shift postings on ConnecTeam (or a similar employee/contractor management platform).
  • Oversee contractor engagement ensuring vetted professionals can view and claim available shifts.
  • Track contractor hours and verify shifts worked through the platform.
  • Collaborate with contractors to resolve scheduling issues or discrepancies.
  • Coordinate with accounting to process contractor payments via QuickBooks Online (QBO).
  • Support incentive tracking and reporting based on shifts completed and hours worked.
  • Maintain contractor data ensuring compliance with project requirements and organizational standards.
  • Serve as the primary admin for platform setup management and reporting.

Qualifications

  • Proven experience using ConnecTeam or comparable contractor/employee management platforms.
  • Previous administrative or coordinator experience preferably in healthcare staffing or contractor-based environments.
  • Strong organizational skills with the ability to manage multiple contractors and schedules simultaneously.
  • Familiarity with QuickBooks Online (QBO) or other payroll/payment systems.
  • Excellent communication skills both written and verbal.
  • Detail-oriented and able to troubleshoot scheduling or system-related issues.

Preferred Skills

  • Experience managing contractors or PRN healthcare staff.
  • Background in sports medicine athletic training or healthcare administration.
  • Familiarity with incentive-based pay structures and reporting.

Role Details

  • Position type: Part time possible and can grow into Full-time
  • Work Hours: 4 Hours per day. Time is flexible between 7am-6pm CST. Monday to Friday.
