Position Summary:
Manages daily facilities operations and workplace services for client(SaaS company) offices.
Ensures an exceptional workplace experience for employees and visitors.
Coordinates service delivery responds to workplace needs and supports office operations.
Serves as a frontline workplace ambassador and key point of contact for workplace-related requests.
Key Responsibilities:
Coordinate daily workplace operations (cleaning maintenance service delivery).
Process and manage workplace service requests.
Serve as primary point of contact for employee inquiries regarding facilities services.
Coordinate space changes (moves adds changes to workstations).
Manage inventory and ordering of office supplies furniture and workplace essentials.
Coordinate with vendors and service providers.
Conduct regular facility inspections and quality assurance checks.
Coordinate meeting room setups and special arrangements for events.
Support visitor management and reception services.
Assist with workplace projects and improvement initiatives.
Maintain accurate records of workplace assets and inventory.
Support emergency response procedures and business continuity activities.
Coordinate catering and food service operations for meetings and events.
Assist with onboarding new employees regarding workplace services.
Monitor and report on workplace service metrics and performance indicators.
Support sustainability initiatives and workplace wellness programs.
Identify opportunities for workplace experience improvements.
Required Experience
2 years of experience in office management facility management or related operations
Customer service experience
Skills & Abilities
Communication Skills: Ability to coordinate and interact smoothly with internal and external stakeholders
Problem-Solving Skills: Quick response capability for facility and equipment-related issues
Multitasking Ability: Prioritization and efficient handling of multiple tasks
PC Operations: Basic proficiency in Excel Word Outlook and other applications
Japanese/English Language: Business-level Japanese basic English communication skills
