In-Person/Virtual: Hybrid Tuesday and Thursday onsite

Reports To:Chief Financial Officer

FLSA Status: Exempt

Full/Part Time:Full Time

Regular/Temporary:Regular

Start Date: September 2025

Compensation Package: 50k-60k

Job Summary:

The Analyst and Administrator is a key member of the Administration (Accounting) team who provides both financial and administrative support to advance the organizations mission. Reporting to the Chief Financial Officer this position is responsible for assisting with essential accounting functionsincluding payroll processing accounts payable/receivable reconciliations and financial reportingwhile also supporting the Chief Executive Officer and senior leadership with board coordination executive-level administrative tasks and special projects.

This role requires a highly organized detail-oriented professional with strong technical proficiency in Microsoft Office and related business systems as well as the ability to manage multiple priorities in a fast-paced hybrid work environment. The Analyst and Administrator will play a critical role in ensuring accuracy and efficiency in financial operations smooth coordination of board and committee activities and effective executive support.

Required Knowledge/Skills/Abilities:

  • Strong proficiency in Microsoft Office 365 Suite (Excel Word Outlook PowerPoint) including the ability to create pivot tables apply formulas develop templates and prepare professional documents.
  • Knowledge of basic accounting practices with the ability to learn and apply organization-specific financial systems (e.g. Blackbaud Financial Edge Concur and Trinet).
  • Excellent verbal and written communication skills including the ability to take accurate meeting minutes and prepare polished board materials.
  • Ability to manage multiple projects simultaneously while meeting deadlines with accuracy and efficiency.
  • Strong interpersonal skills; able to work effectively with senior leadership board members staff and external stakeholders.
  • Demonstrated ability to identify inefficiencies in processes and recommend improvements.
  • Strong problem-solving skills with the ability to adapt quickly to shifting priorities.
  • Commitment to teamwork collaboration and the mission of the organization.
  • Effective self-organizer with meticulous attention to detail and workflow management.
  • Adaptable to multi-tasking and adjusting to changing priorities.
  • Bachelors Degree preferred or equivalent combination of relevant education training and experience.

Preferred Knowledge/Skills/Abilities:

  • Experience working in a nonprofit or mission-driven organization.
  • Experience supporting boards of directors or executive-level leadership.
  • Strong project management skills with the ability to document streamline and improve workflows.
  • Strong analytical and problem-solving skills with the ability to identify process improvements.
  • Comfort with data organization and document management systems (e.g. SharePoint OneDrive or similar platforms).
  • Ability to draft polished reports presentations and business correspondence with minimal supervision.
  • Advanced Excel skills (e.g. complex formulas pivot tables data analysis and reporting).
  • Strong aptitude with software applications and online platforms; ability to troubleshoot and leverage technology for efficiency.
  • Familiarity with fund accounting and grant reporting requirements.
  • Prior experience with Blackbaud Financial Edge Concur or Trinet systems.

Essential Functions:

  • Complete the front-end analysis and payroll processing which includes reconciling a spreadsheet to the online payroll register.
  • Provide the applicable payroll source documentation (timesheets payroll registers etc.) to the Accounting Manager for grant reporting.
  • Lead the effort to document the current Accounting Department policies procedures and workflows working closely with the Chief Financial Officer and Accounting Manager.
  • Lead the effort to select a subsidiary fixed asset system and convert the fixed asset spreadsheet to the online platform.
  • Oversee inventory and cost of goods sold collaborating with the Outdoor and Marketing departments.
  • Assist the Accounting Manager with cash accounts receivable and accounts payable functions including following up on accounts receivable reconciliation variances and uncleared checks.
  • Prepare monthly financial reports and templates for the programs and departments for variance analysis and forecasting exercises.
  • Assist the Chief Financial Officer with the annual budget process including building and reviewing the program and department templates.
  • Coordinate the logistics of Board and Committee meetings (including calendar invite management quorum management room rental and catering).
  • Oversee the compilation and distribution of Board and Committee packets.
  • Complete invoice and expense reports in Concur (accounts payable subsidiary system) on behalf of the Chief Executive Officer.
  • Develop and maintain accurate well-formatted spreadsheets databases and reports to support accounting board and executive functions.
  • Draft correspondence reports and presentations on behalf of executives with a high degree of accuracy and professionalism.
  • Maintain confidentiality of sensitive financial personnel and board information at all times.
  • Provide cross-departmental administrative support anticipating needs and proactively assisting with special projects
