Prepare and audit patient charts prior to appointments
Ensure labs and imaging are completed in advance and results are available for review.
Room patients and collect relevant information
Review symptoms and history with patients including taking vitals.
Perform manual blood pressures if automated equipment is unavailable.
Room patients promptly to keep clinic flow efficient.
Enter provider orders
Input lab and imaging orders as directed.
Schedule same-day imaging when possible and provide patients with instructions for external tests.
Fax orders to external facilities and provide patients with copies as needed.
Assign accurate diagnostic and procedure codes for visits labs and imaging.
Administer in-office treatments or injections and monitor patients as appropriate.
Audit charts at the end of each clinic session
Verify notes review of systems diagnostic/procedure codes and ensure provider signatures are completed.
Reschedule or adjust patient appointments as needed.
Prepare and send school/work letters or other documentation upon request.
Process medication refills and coordinate with pharmacies for any issues.
Coordinate medication deliveries for patients who require in-office administration.
Manage prior authorizations for medications or procedures including insurance communications.
Send referrals and related documentation to external providers.
Handle patient communications messages and follow-up letters.
Maintain and manage cancellation lists and reach out to patients as openings arise.
Complete required cleaning logs and other compliance documentation for assigned areas.
Update department scorecards or trackers on a regular basis.
Coordinate pharmaceutical representative meetings lunches and related scheduling.
Collaborate with management for escalations support and workflow adjustments.
Ensure provider schedules and blocked times are accurate and updated as needed.
Track medication and prior authorization statuses to proactively address potential issues.
Participate in meetings to review patient care processes and operational updates.
