Program Office Assistant - Full time Permanent $29.71/hour

Youth Research Inc (YRI) assists the New York State Office of Children and Family Services (OCFS) and its state and local partners in developing administering and delivering training and learning opportunities and related activities for the full range of services for which OCFS is responsible such as child welfare juvenile justice childcare adoption and foster care youth development and child and adult protective services.

The Program Office Assistant supports YRIs training administration and logistics. The Program Office Assistant provides training operations support for program activities maintains information on training courses and trainee attendance and resolves issues. The Program Office Assistant will use the Human Services Learning Center (OCFS learning administration system).

Duties

  • Establish procedures for preparation of documents processing of materials and maintenance of records.
  • Accurately follow training schedules for timely delivery of course materials to training teams.
  • Maintain curriculum and training supplies (monitor inventory levels ordering reviewing curriculum for accuracy)
  • Supporting specialty in-person training by resetting computers following steps to ensure all training tasks are completed and disseminating required training documents to agencies.
  • Receive screen review and verify documents forms applications claims and other documents for completeness content and accuracy.
  • Track completion of training course attendance and generate reports on training metrics.
  • Support the tracking and reconciliation of lodging and follow up on trainee travel issues.
  • Generate copies of training program materials such as curricula rosters and evaluations.
  • Coordinate arrangements and provide support for meetings courses and professional development events.
  • Gather compile and prepare data from manual or automated files and other sources for various reports publications records or other external or internal communications.
  • Create and respond to correspondence from external resources and vendors such as hotel representatives.
  • Escalate issues to supervisors attention and propose solutions where applicable.
  • Other duties as assigned.

Qualifications

Minimum Qualifications

  • Associates degree from an accredited higher educational institution; 2-4 years of related experience; or equivalent combination of education and experience.
  • Strong attention to detail is required to be successful in this role.
  • Ability to navigate competing priorities and time-sensitive tasks.
  • Strong written and oral communication skills.
  • Interest working for a growing non-profit organization.
  • Experience working with a learning management system is a plus.
  • Experience working for or frequently interacting with a non-profit organization or social service organization is a plus.
  • Proficient in MS Office 365 and software applications needed to perform the essential duties of the position.

A valid NYS Drivers license is required.
