Patient Services Coordinator II Thoracic Surgery (Front Desk)
Massachusetts General Hospital Boston MA

Are you passionate about patient care and thrive in a fast-paced healthcare environment Join our Thoracic Surgery team as a Patient Services Coordinator (PSC) and become the welcoming face of our clinic. This is a dynamic front desk role where your organizational skills and attention to detail will directly support our mission to deliver exceptional care.



Job Summary

What Youll Do
As the first point of contact for patients and families youll play a vital role in ensuring a smooth and compassionate experience. Your responsibilities will include:

Patient Scheduling & Coordination
-Schedule appointments surgeries and diagnostic tests
-Coordinate referrals pre-certifications and imaging
-Manage cancellations confirmations and follow-up communications

Reception & Communication
-Greet and check in/out patients with warmth and professionalism
-Answer incoming calls triage inquiries and relay messages to clinical staff
-Provide clear and accurate information about appointments and procedures

Administrative Support
-Prepare consultation letters notes and correspondence
-Maintain and update patient records in Epic
-Scan and upload documentation manage in-basket messages and support data workflows

Team Collaboration
-Work closely with physicians nurse practitioners and administrative leaders
-Coordinate with interpreters financial counselors and registration teams
-Support clinic operations and contribute to process improvements

Physician Support (as needed)
-Assist with calendar management travel arrangements and credentialing
-Prepare reports CVs and presentation materials
-Provide cross-coverage and help onboard new staff

What Were Looking For
-A detail-oriented proactive individual with strong communication and multitasking skills
-Experience in a healthcare setting or administrative support role preferred
-Comfort with Epic or similar electronic medical record systems
-A team player who thrives in a busy patient-facing environment

Work Environment
-Onsite role in an outpatient clinic setting at MGHs main campus
-Standard business hours with occasional flexibility based on clinic needs



Qualifications

QUALIFICATIONS:

- High School Diploma or GED required. Associates Degree in Secretarial Science/Business or a Secretarial Training Certificate Program desirable

- Minimum of 1 - 3 years secretarial experience in a medical or health care related setting required.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

- Excellent interpersonal skills and flexibility.

- Excellent communication skills both oral and written.

- Understanding of and ability to use medical terminology.

- Computer software and word processing skills including: MS Office Suite (Outlook Word Excel) ability to learn Epic MOSAIC and OR Scheduling.

- Requires an ability to work effectively with physicians advance practice providers and other clinical and support staff.

- Ability to focus detailed concentrated effort to multiple projects and re-establish priorities as necessary.

- Ability to effectively respond to time-sensitive and confidential issues.

- Initiative and ability to work both independently and as a member of a functional team.

- Ability to collect and interpret data from patient records.

- Demonstrated knowledge of HIPAA Confidentiality and Privacy Policies.

- Demonstrated understanding of MGH Disaster protocols to include: fire safety and code calls per the mandatory training as outlined by MGH and JCAHO guidelines.
