Job Description

Job Description Summary

You will be responsible to work with the different functions to oversee and coordinate customer inquiries coordinating bid responses and ensuring accurate scope and pricing as well as guiding cross-functional teams from initial request through to order placement. Upon successful bidding of the projects you will also be accountable for project execution in Grid Systems Integration (GSI) Japan. You are expected to provide leadership to manage risks & opportunities and ensure that the project/work package follows high standards in terms of quality health safety and environmental requirements.

The role initially starts with customer facing on the technical aspects of the project which includes but not limited to scheduling pricing and solution offerings and follow with developing and implementing the overall plan for the execution of the project to achieve the project performance goals in accordance with the contract.

Job Description

Key Responsibilities

Inquiry To Order (ITO)

  • Possess strong project management skills and a commercial mindset and experience working in a sales or proposal environment.

  • Coordinate with cross-functional teams on tender schedule monitor and report on tender progress. Identify and report any issue or deviation to bidding strategy in a clear and anticipated manner. Propose mitigation actions based on experience and implement corrective actions.

  • Build up the cost estimate and ensure all costs are properly validated and adequate risks provisions are considered for projects. Establish a realistic target cost at early stage of the tender.

  • Ensure sufficient time is available for review and validation of documentation before submission to Customers

  • Develop and maintain outstanding relationships with Customer. Lead preparation of Customer meetings and negotiations ensure clarifications/answers/presentations are available and reviewed ahead of customers requests. Lead/participate in Customer meetings.

  • Develop and maintain technical knowledge of products and solution so as to better anticipate technical issues and promptly elaborate mitigation actions.

  • Manage end-to-end ITO process from receipt of customer inquiry through to execution

  • Develop and maintain project timelines deliverables and risk assessments.

  • Ensure alignment between customer requirements and internal capabilities.

  • Coordinate technical and commercial reviews prior to proposal submission.

  • Track and report on ITO project metrics (win/loss cycle time compliance etc.).

Order To Requisition (OTR)

Execute as per customer satisfaction and deliver Sales and cash as per yearly commitment.

1- Customer fronting:

  • Day to day customer management

  • Priority setting for all the project team driving customer input in GEVs operations

  • Project Interface Scope Management with customer

  • Billing and Cash collection

  • Ensure that the Management Project Team and Client are fully informed of project matters as necessary

  • Contract Management

2- Execution

  • Establish and animate operational rhythm

  • Establish the Project budget time scale and scope

  • Ensure that all deliverables are covered by work packages or purchase orders.

  • Monitor the work completed and work to be done to ensure that it is realistic and within capability

  • Ensure that the project is delivered on time on budget

  • Mitigate risks and develop opportunity portfolio

  • Re-estimate cost-to-complete on monthly basis

  • Ensure standard of quality expected is known and actions are in place to adjust as necessary

  • Ensure that suppliers are managed within their Contracts

3-Team Management

  • Partner & collaborate with the line managers to ensure that the correct level of competent resources are being made available to ensure the successful completion of the project

  • Influence and drive internal communications Management to ensure a collaborative work environment to drive high performance teams

Qualifications/Requirements:

  • Degree Level or equivalent in Engineering or equivalent knowledge or experience

  • Previous Project Management experience in Japan or similar environment

  • Minimum proven experience of managing medium to large size projects
    (min 2 years 20M$ project)

  • Good Communication Skills (Fluent English Japanese mandatory)

  • Commercial awareness with demonstrated ability to negotiate variation settlements in complex projects

  • Ability to work on multiple tasks whilst maintaining accuracy within set time limits.
    (Grasp of big picture ability of priority setting and capability to dive in the details)

  • Positive Attitude and Resilience

  • Willing to travel extensively within Japan and overseas sometimes to have reviews with European project team

  • Possess strong leadership to guide & coach to achieve high performance team.
