About the role:

  • Maintain long term relationship with clients with an customer-centric mindset

  • Proactively engage with clients regularly and anticipate their needs

  • Manage the telephone console receive and divert incoming calls

  • Receive greet guide visitors including co-ordination with employees

  • Conduct thorough floor walk daily to ensure pantries utility rooms and entire office areas are always in tip top condition for employees use

  • Responsible for maintenance and upkeep duties of the front office/ concierge area clean and presentable at all times

  • Administrate meeting and conference room bookings

  • Responsible for inventory management for amenities stocks for pantries stationary corner fitness facilities and mother care rooms

  • Handle administrative activities to maintain good records for office supplies and order expenses

  • Co-ordinate and assist with internal office events

  • Technical support Be aware of faulty electrical items and help users to raise IT ticket and issue a work order for the technical team

  • Signage management Ensure all e-display are updated with latest notice and outdated information are removed timely

  • Assist with ad-hoc tasks for meeting/business functions

  • Ensure compliance of regulations / requirements of management

Therefore you must demonstrate high levels of customer service and integrity especially in handling enquiries issues and complaints.

Keeping a well-oiled workplace

Together with the facilities management team youll help ensure that clients vendors and employees enjoy a safe and positive experience. Youll be trained to follow escalation and incident reporting procedures and comply with the firms safety guidelines and strategies.

Your responsibilities also include but are not limited to: booking meeting rooms; managing office supplies inventory; handling paperwork on maintenance-related activities; and updating the phone directory and company brochures. Youll also be expected to assist the facilities management team in overseeing contractors on-site and finding vendors and services.
