Job Description

Job Summary/Basic Function:

The Technical Records Specialist 2 (TRS 2) supports Boise State Universitys undergraduate admissions process by reviewing applications and materials determining admissibility and updating applicant records in accordance with Boise State and State of Idaho admissions policies. This position also manages a designated complex admissions process serving as the program expert to interpret information and develop effective solutions. The TRS 2 ensures compliance with FERPA regulations and applies strong technical skills attention to detail and knowledge of admissions policies to support a seamless admissions addition the TRS 2 handles more complex and technical application scenarios and regularly assists with processing customer support requests.

This is a fully remote position; however the successful candidate must reside in the Boise Idaho metropolitan area by their start date and be available for occasional in-person meetings on campus.

Department Overview:

As a Technical Records Specialist 2 you will be an essential part of the Admissions and New Student Programs team at Boise State University. This department encompasses three core areas: New Student Programs Recruitment and Campus Visits and Operations and Systems all dedicated to the recruitment admission and seamless onboarding of students.

This role is a member of the Processing Team which consists of five full-time staff and three to six student staff. It is also part of the larger Operations and Systems team which includes the Processing Customer Service Systems and Slate CRM teams. You will work closely with your immediate Processing Team members while also collaborating with the other Operations and Systems teams. Additionally you will interact with colleagues from across the department and university through meetings training sessions and customer support efforts. Level Scope:

Applies skills and job knowledge in area of specialization; may adapt procedures operations techniques tools materials and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.

Essential Functions:

Review and Process Undergraduate Applications - 50%

  • Review and process undergraduate applications in a high-volume fast-paced environment including handling more complex and technical application scenarios that require advanced knowledge of admissions policies and procedures.
  • Evaluate applications and supporting documents request additional materials as needed and make admissions decisions in accordance with Boise State and State of Idaho policies.
  • Review and interpret transcripts test scores and other academic records to determine admissibility compute GPA and credit totals assess transferability of courses and verify high school core completion.
  • Maintain confidentiality and integrity while working with sensitive student data in compliance with FERPA regulations.
  • Document processes maintain accurate records and regularly update student information to ensure data accuracy across admissions systems.
  • Assist with the data entry and indexing of received transcripts.

Designated Program Support 30%

  • Serve as the program expert for a designated admissions process applying extensive knowledge of related policies procedures and systems to carry out specialized program functions.
  • Exercise judgment and discretion as the primary point of contact for resolving questions concerns and issues related to the assigned process.
  • Monitor maintain and process records for the designated program area ensuring accuracy timeliness and compliance with university state and federal requirements.
  • Interpret information and apply problem-solving skills to develop solutions for complex or unique situations that may fall outside standard procedures.
  • Collaborate with internal departments and external stakeholders to ensure the efficient and effective operation of the assigned process.

Customer Support 15%

  • Communicate with internal and external partners including students and counselors to obtain clarification or additional information as needed.
  • Monitor and manage the admissions processing ticket system responding to and resolving inquiries and issues in a timely manner.
  • Maintain professionalism and courtesy in all interactions.

Other Duties as Assigned 5%

Knowledge Skills Abilities:
  • Some knowledge of: supervisory practices and data management.
  • Experience: conducting sensitive fact finding interviews; storing retrieving and compiling information in a report format using database software and using spreadsheet software.
MinimumQualifications:

Experience: monitoring record systems to identify and correct errors; interpreting explaining and applying laws regulations and complex policies for multiple or highly specialized programs; analyzing information and researching a variety of sources to identify and resolve problems or issues; dealing with individuals from varying cultural and socio-economic backgrounds in stressful situations; entering and retrieving data using a computerized record system; composing and proofreading business correspondence.

Preferred Qualifications:

  • Two or more years of experience in college or university admissions enrollment services or student records.
  • Familiarity with workflow management and database processes particularly with student information systems (e.g. PeopleSoft Banner) and CRM platforms (e.g. Technolutions Slate Salesforce).
  • Demonstrated ability to communicate clearly and professionally with a variety of audiences both in writing and verbally.
  • Two or more years of experience in high-volume data or document processing such as reviewing applications transcripts or similar records with an emphasis on accuracy consistency and meeting deadlines.
  • Experience using spreadsheets and data tools to manage workflows track productivity and support operational improvements.
