Job Description

LOOKING FOR STELLAR TOP CANDIDATES

Position: Property Operations Coordinator
Working Hours: Full-Time Mon - Fri 8:00 am - 5:00 pm EDT - weekend coverage -flexible 4 hrs
Salary: USD 1100 per month (depending on exp and clients final offer)
Bonus Opportunity: Up to $150/month based on performance metrics

About the Role:

Thrives in a remote environment and excels at coordination and problem-solving. Will serve as the operational backbone of our property management team. This role is crucial for ensuring smooth day-to-day operations effective tenant communication and comprehensive support to our on-site Property Manager.

Role Responsibilities:

  • Maintenance Management: Lead the maintenance process from start to finish including work order (WO) triage vendor/technician coordination tracking and ensuring timely completion.
  • Tenant Relations & Concern Resolution: Proactively resolve tenant concerns and inquiries serving as a primary remote point of contact for residents.
  • Proactive PM Support & On-Site Coordination: Provide comprehensive remote support to the on-site Property Manager. This involves coordinating all necessary on-site activities providing detailed instructions checklists and scheduling.
  • Data Organization & Record Keeping: Maintain accurate maintenance records and property data within AppFolio ensuring meticulous organization.
  • Rent Collection: Assist with timely rent collection processing including sending late notices and supporting collection efforts.

Detailed Roles and Functions:

  • Coordinates all necessary on-site activities with the Property Manager providing detailed instructions checklists and scheduling.
  • Creates assigns and tracks work orders through completion.
  • Coordinates vendor scheduling for non-urgent repairs with tenants and contractors.
  • Follows up with tenants and vendors to ensure satisfaction and quality of work.
  • Manages vendor invoices and ensures payment approval.
  • Is the primary remote communicator for move-in/move-out processes (letters scheduling checklist utility transfers).
  • Maintains accurate maintenance records and property data in AppFolio.
  • Ensures timely rent collection processing and assists with late notices and collection efforts.
  • Proactively works to resolve tenant concerns and inquiries.

What You Bring (Key Strengths):

  • Has at least 1-2 years of experience
  • Proficiency with Appfolio or similar tools (training will be provided)
  • Has experience using tools such as MS Office Suite Canva ChatGPT Gemini and other AI tools (would be a great plus)
  • Exceptional organization skills.
  • Strong proactive problem-solving abilities.
  • Excellent detailed communication skills.
  • A strong aptitude for administrative support in a remote setting.
  • Proven ability to drive remote operational efficiency
