This is an hourly/nonexempt position that pays $27.00 to $30.00 per hour plus generous employee benefits

HR Visitors and Reception (15% of Time) -- The tasks listed in this section are phasing out in January of 2026 after we move to our new offices in Rancho Bernardo

  • As face of company greets customers and visitors and ensures visitors sign into visitor log and issue visitor badges. Notify person(s) meeting with guest to arrange for escort.
  • Assist as needed with vendor deliveries (e.g. Micro Precision Corodata USPS) food and coffee services building vendors and building services and contact appropriate employee for receipt of packages.
  • Sort incoming mail to appropriate departments.
  • Serve as vendor interface on coffee machine vending machines and on-site market/kiosk (First Class Vending).Maintain open line of communication with facilities on coffee supplies and machine maintenance. Reach out to vendor with any concerns.

HR Administration (20% of Time)

  • Serve as first point-of-contact on the Human Resources team. Greet screen and direct internal and external customers to appropriate HR staff member. Answer a broad spectrum of HR questions via e-mail phone or in-person and provide forms information or point to appropriate resources.
  • Back up HR Specialist.
  • Create new hire personnel files and compile terminated employee personnel files
  • *File employee documents in personnel and confidential files and assist with year-end archiving.
  • *Create FedEx label to ship overnight packages.
  • *Prepare purchase orders (one-time or blanket) and process invoices for goods and services for HR department.
  • Coordinate Costco supply orders for HR department as needed.
  • Maintain and update the company telephone list of extensions and cell phone numbers per the process.
  • Maintain company store of Cohu logo items replenish as needed and create new logo items and maintain kitchen supplies.
  • Review updates and order/post labor law and other legal posters/notices on an annual basis
  • Support annual ISO update of documents for HR Poway and support annual EEO and AA filings as requested.
  • Order and post labor law and other legal posters/notices.
  • Update employee bulletin boards on a regular basis post for the HR department.
  • Send out company-wide emails for events updates Arrange meetings within Outlook.
  • Provide administrative services coordinate meetings support projects etc.

Employee Services (35% of Time)

  • Own the employee badging system. Troubleshoot badge access issues maintain security access database and deactivate employee access as needed. Audit on-site providers (Coverall & G4S) to ensure inactive employee badges are terminated.
  • Manage the milestone service anniversary awards program for US employees including customized messages from managers ordering yearbooks ordering engraved number award packaging and distribution and updates to Snappy site for eligible employee gifts. Prime contact and interface with former Xcerra US HR contact (Jill Barres)
  • Coordinate the annual service awards luncheon event including invitations programs food beverages etc.
  • Coordinate educational reimbursement process review forms and prepare and process check requests.
  • Coordinate the employee recognition programs (Applause and Above & Beyond) track performance-based recognition recipients and ensure gift card supply is maintained.
  • Coordinate local HR Team employee birthday recognitionorder $50 Amazon gift card
  • Coordinate a variety of programs and drives such as Toys for Tots Food Drive Blood Drives etc.
  • Order employee flowers and plants for U.S. employees for significant illnesses accidents or bereavement. (log-in in bible)
  • Employment Verification: Direct requests for verifications of employment to The Work Number and/or prepare written verifications of employment letters to employees.

Wellness (30% of Time)

  • Primary point of contact for U.S employees for Propensity Wellness Portalfor US employees. Provide email communications to facilitate utilization of wellness portal by employees to maximize their participation and opportunities to get Wellness points.
  • Primary Wellness program administrator (budget and utilization). Create communicate and implement schedule of wellness events for program year.
    • Manage wellness email inbox ()
    • Create and distribute wellness content and newsletters
    • Coordinate and facilitate virtual and on-site wellness webinars and trainings
    • Partner with benefit service providers to maximize use of program offerings (i.e. Cigna EAP)
    • Partner with the Happenings & Events team to integrate Wellness into different employee events
  • Answer questions provide virtual training and answer questions from employees
  • Assist with managing Calm program portal and communications
  • Partner with benefits manager (benefit orientations benefit questions etc.)
  • Assist with 401(k) employee signups twice a year and 401(k) seminar signups

Qualifications:

  • Education/Training:

    • High school graduate or equivalent. Bachelors in Business Psychology or related field required or equivalent combination of education and experience. HR Certificate preferred but not required.

  • Experience:

    • A minimum of three years of administrative and human resources experience. Must have track record of using MS Office (Word Excel and Powerpoint) that demonstrates intermediate functionality.

  • Skills/Technical Requirements:

    • Proven experience in a progressive Human Resources or HR support role in three or more of the following areas:

      • Wellness & Benefits

      • Employee Programs & Services

      • Recognition and Service Awards

      • HR Compliance

      • HR Administration

      • HRIS health & safety compensation recruiting etc. helpful

    • Effective oral and written communication skills.

    • Must be able to effectively communicate with people at all levels and build/foster professional working relationships

    • Must exhibit sound and common-sense judgment.

    • Computer skills must include proficiency with MS Word Excel and Outlook.

    • Easily adapt to a changing environment which includes ability to multi-task and plan and organize complex tasks projects and activities

    • Monitor your own work for quality and accuracy.

    • Must be able to work effectively as a team player as well as an individual contributor.

    • Must be able to maintain confidentiality with sensitive personnel records and information.

  • Job Conditions/Physical Demands: Office environment; ability to sit or stand at desk for prolonged periods. Use of keyboard telephone and mouse. Minimum lifting.

  • Protective Devices Required: In designated areas
