About 7000 students choose CPS each year and our diverse student enrollment continues to rise. Over 30% of CPS students speak a language other than English at home and over 70 languages are spoken by our families. Among the most common are Spanish Haitian Creole Amharic Arabic Bengali and Chinese. Our schools proudly embrace this diversity.
Key Responsibilities:
- Support department-wide and district-wide meetings professional learning sessions and family engagement events.
- Prepare agendas take minutes and ensure timely follow-up on action items.
- Serve as a liaison between the department and school-based staff external partners and other central office departments.
- Monitor and reconcile multiple budgets including general funds and federal/state grants.
- Support the Director of Multilingual Learner Education in organizing and documenting compliance with federal Title III grant mandates including:
- Maintaining records of collaboration with private schools and community partners
- Managing Time and Effort documentation for all Title III service providers
- Generating reports of student data
- Manage service agreements payment vouchers purchase orders and invoices with accuracy and in accordance with district protocols.
- Track and maintain budgets for afterschool and summer programs; support regular reporting of expenditures.
- Lead the operational and logistical planning of the districts EL Summer School Program including student registration (150 students) staffing coordination and family outreach.
- Oversee scheduling and resource allocation for EL afterschool programming.
- Coordinate procurement processes to ensure timely and accurate ordering of curricular and instructional materials.
- Maintain inventory systems for curriculum resources technology and department assets to ensure equitable distribution across the district.
- Monitor and restock office supplies by anticipating needs placing and expediting orders and verifying receipt of goods.
- Respond professionally to inquiries from families staff and external stakeholders via email phone and in person.
- Support communication with families of multilingual learners including providing translation and interpretation where appropriate.
- Proofread and edit departmental communications and reports for clarity accuracy and tone.
Collaborate proactively with district fiscal services Human Resources payroll and other operational teams. - Perform other administrative functions and special projects as assigned by department leadership.
Your Skill Set:
- Associates or Bachelors Degree preferred
- At least 3 years of experience in an office environment preferably in an educational setting with customer service administrative and financial responsibilities
- Perform work accurately and independently; meet stated deadlines
- Strong communication and interpersonal skills
- A passion for education
- Proficiency in Google Suite applications (Gmail Calendar Docs Slides Forms and Sheets)
- Familiarity with or willingness to learn to access data in educational systems such as Aspen Branching Minds Ellevation and TalentEd
- Ability to organize manage and complete multiple tasks in a fast-paced environment
- Attention to detail and problem-solving skills
- Self-motivated
- Culturally responsive and attentive to the needs of diverse families and educators
- Prefer proficiency in one or more of the following languages: Haitian Creole Amharic Arabic Chinese Bengali Spanish Portuguese or Hebrew
