Position Summary:
Florida Atlantic University is seeking a Coordinator of Development and Administrative Services - Boca Raton FL.
Florida Atlantic University has an opening for a highly organized personable and detail-oriented administrative professional to support a relationship-focused results-oriented development office within the Dorothy F. Schmidt College of Arts and Letters.
Reporting to the Senior Director of Development and Outreach the Coordinator is part of a dynamic fast-paced fundraising team that raises annual major and principal-level gifts to benefit the College. This position serves as the chief administrative contact and liaison for external and internal constituencies including donors donor prospects alumni the Dean faculty and colleagues.
Day-to-day administrative duties support all aspects of the development office activities including tracking prospect activity in the database; drafting memos correspondence and reports; scheduling meetings and preparing meeting materials. Other duties include distribution of correspondence grant preparation and submission donor receptions/special events meetings and working independently on specific projects.

- Serves as the primary contact for the Development Office and assists in the building of internal and external relationships as the consistent professional and personable front-line contact.
- Assists with managing various administrative projects tasks and workflows relating to Development Office business needs.
- Facilitates reports donor and prospect briefings using CRM database (Raisers Edge).
- Collaborates with colleagues to plan and execute donor/prospect events assemble and prepare event materials send out and track invitations send out reminders plan the menu and event timeline. Maintain various tracking reports to assure accurate and up-to-date information on prospects donors and event attendance.
- Facilitates annual gift letters for signature programs including Ambassador of the Arts and Theatre Lab Inner Circle. Run a weekly list of donors attending College programs to share with the Dean development team and program leadership.
- Assist in tracking prospect activity in the database drafting correspondence and project facilitation for major College development initiatives.
- Point person for Annual Giving Programs including the faculty/staff campaign. Assist departments in updating their giving pages adding new fund links and other projects working with the central Advancement Services office.
- Assist in compiling and submitting online grants with development staff and program areas. Oversee mid and end-of-the-year reports for major grants.
- Facilitate meetings and communications to the College advisory board including collateral and support materials for meetings.
- Oversee the annual Cultural Arts and Society Today (CAST) party. Request participant lists for Save the Date and invitations. Facilitate online registrations monitor and track responses and monies raised. Serve as contact for the committee chair for logistics and budget.

Masters degree from an accredited institution in an appropriate area of specialization; or a bachelors degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Knowledge of Microsoft Office software; database proficiency.
