2 Secretary (Spanish Bilingual Required) positions - 8 hours 246 work days per year.

No Current Vacancy - Positions are typically:

Intermediate School Secretary (Spanish Bilingual Required) -8 hours 191 work days per year.
Office Assistant III (Spanish Bilingual Required)- 8 hours 246 work days per year.
We are testing for an eligibility list at this time which will be used to fill vacancies for up to one year.

Under the direction of an assigned school site administrator performs a variety of secretarial and clerical functions to relieve intermediate school administrators of administrative detail;
maintains a variety of student records and files; plans and organize office activities; coordinates the flow of communications for designated administrator(s); and performs a variety of duties relative to assigned area of responsibility.

Examples of Duties

Serves as secretary to one or more administrators within an assigned school office; plans and organizes activities to coordinate flow of communications with assigned administrator(s);
Performs a variety of clerical duties including but not limited to filing data entry
duplicating materials date stamping and logging documents received and opening and routing mail;
Provide assistance to school administration teachers parents and students in order to ensure the students success in the schools program; assists parents and staff in filling out paper work; informs parents of situations regarding students;
Greets visitors and answers telephone; responds to questions and provides information related to school policies and functions and applicable District and school rules regulations and policies; takes messages screens telephone calls for designated administrator and refers callers to appropriate personnel;
Ensures timely communication between office and District employees; receives verifies and transmits information to other District departments and the public; obtains records and information as needed;
Compiles information and prepares reports for assigned programs and school activities;
Independently coordinates various projects requiring independent judgment and initiative;
schedules appointments and meetings for administrator and maintains administrators calendar;
Supports personnel monitoring and recording student attendance as needed; issues readmit slips to students returning from absence; follows-up on absent students through parent contact and notifies proper authorities to assist in apprehending students with frequent absences as directed;
Issues retrieves and maintains records of keys to offices classrooms and other school
facilities according to established procedures;
Assists in maintaining the health office at a school site; arranges for appropriate care or if
properly trained provides first aid for ill and injured students; dispenses medication per
physician guidelines;
Oversees students in office as required;
Facilitates and assists community agencies in support of students;
Works closely with High School District counselors in placing students in appropriate programs upon entering high school.
Other Related Duties
May attend meetings and take minutes as required;
May maintain financial records relating to the receipt and disbursement of funds; may assist with student store and associated student body funds;
May prepare meeting agendas and ensure inclusion of appropriate materials;
May take and transcribe dictation of correspondence reports bulletins and memoranda as required;
May requisition receive store and distributes supplies and office materials;
May maintain supply and equipment inventories;
For positions with bilingual designations translates a variety of written materials from English to a second language and from that language into English; interprets and facilitates
communication between staff and non-English speaking members of the public; attends various meetings to translate and interpret as needed;
Performs related duties and responsibilities as required.

Employment Standards

Education: Graduation from high school or equivalency.
Experience: Two years of clerical experience.
Special:A valid California Class C drivers license may be required and if so must be maintained during the course of employment.
Ability to be insured and continue to be insurable by the Districts liability insurance carrier

This is aDual Certificationrecruitment: Candidates who attain a passing score on each examination part will be placed in rank order on an eligibility list after promotional credits are added to the composite test scores of promotional candidates. These examinations are open to permanent employees and the public.
