Job Description

The Executive Assistant and Senior Administrative Coordinator serves under the Vice President for the Division of Health Sciences and Executive Dean of the College of Osteopathic Medicine. Responsible for coordinating several division functions which could include a complex budget social media and communications website updates recruiting and marketing and the exercise of discretion and independent judgment with respect to matters of significance. Serves as Campus Security Authority (CSA).

Work hours: Mon-Fri; 8:00 AM 5:00 PM or as work requirements indicate; This position is located in Stephenville Texas and may require work beyond normal business hours and some weekends.

Responsibilities:

  • Provides executive level support to the VP for the Division of Health Sciences including schedule daily activities calendar/events and communications.

  • Provides divisional budget and operations support by tracking expenses reconciling expenses against budget availability preparing purchase requests in AggieBuy tracking and processing annual subscriptions and timely processing of procurement and travel expense reports.

  • Monitors project timelines and identifies issues. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Makes recommendations for process improvements administrative changes or new initiatives.

  • Assists with accreditation requirements as they pertain to the division.

  • Reviews documents for the supervisor and may attend meetings or committees on the VP/Deans behalf as needed.

  • Communicates policies procedures standards and methods. Responds to inquiries resolving problems or inquiries. Reviews administrative practices and programs and assists in formulating policies.

  • May participate in recruitment of faculty and/or staff including travel attending events coordinating with prospective applicants and associated travel arrangements.

  • Plans and coordinates logistical and administrative support for events meetings or other special functions and provides on-site support.

  • Coordinating with Marketing and Communications to develop publications print materials social media and conference advertising to align colleges and departments within the Division of Health Sciences.

  • Performs other duties as assigned.

Minimum Requirements:

Education and Experience:

  • Bachelors degree or an equivalent combination of education and experience. Preference given to applicants holding a Masters degree.

  • Six years of related administrative experience.

Knowledge Skills and Abilities:

  • Knowledge of word processing spreadsheet database and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Strong interpersonal and communication skills.

  • Excellent planning and organizational abilities.

Compensation & Benefits

Salary: Commensurate with experience

Salary Range:

The target base annual salary range is commensurate and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
