Job Description

Job Title: Medical Support Assistant (MSA)
Specialty: Administrative / Clinical Support Scheduling & Patient Services
Site: Sheridan VA Medical Center 1898 Fort Road
Place of work (City/State): Sheridan WY 82801
Duration: 1 year contract with the possibility of a 1 year extension
Shift Schedule: Monday Friday 7:00 AM 6:00 PM (8-hour shifts within these hours)
Education: High School Diploma or GED required
Minimum Qualification/ Experience:
  • Typing speed: minimum 50 WPM.
  • Basic medical terminology.
  • At least 6 months of customer service experience.
  • Basic computer proficiency (Microsoft Office Outlook Teams VISTA CPRS scheduling systems).

Responsibilities:

  • Serve as scheduler/receptionist following VA directives (VHA 1230 VHA 1232).
  • Perform appointment scheduling consult management and community care coordination.
  • Validate and update patient demographics insurance next of kin and emergency contact information.
  • Screen and manage phone calls ensure timely and courteous responses and follow proper call-handling procedures.
  • Provide customer service to veterans families VA staff and providers.
  • Support daily clinic operations (opening/closing clinics updating no-shows handling faxes/mail per HIPAA standards).
  • Utilize VA software applications: VISTA CPRS HSRM PPMS VetLink CTM Refdoc EPSI etc.
  • Ensure compliance with HIPAA VA privacy/security policies and The Joint Commission standards.
  • Work collaboratively with the Lead Scheduler and scheduling team to achieve patient access goals.
  • Perform other duties as assigned.
