ORGANIZATIONAL PROFILE

The San Francisco Symphony is widely considered to be among the most artistically adventurous and innovative arts institutions in the United States celebrated for its artistic excellence creative performance concepts active touring award-winning recordings and standard-setting education the 202021 season the San Francisco Symphony welcomed conductor and composer EsaPekka Salonen as its twelfth Music Director and embarked on a new vision for the present and future of the orchestral landscape. This exciting artistic future builds on the remarkable 25-year tenure of Michael Tilson Thomas as the San Francisco Symphonys Music Director. Tilson Thomas continues his rich relationship with the Symphony as its first Music Director their inaugural season together Esa-Pekka Salonen and the San Francisco Symphony have introduced a groundbreaking artistic leadership model anchored by eight Collaborative Partners from a variety of cultural disciplines: Nicholas Britell Julia Bullock Claire Chase Bryce Dessner Pekka Kuusisto Nico Muhly Carol Reiley and Esperanza Spalding. This group of visionary artists thinkers and doers joins with Salonen and the San Francisco Symphony to chart a new course of experimentation by collaborating on new ideas breaking conventional rules and creating unique and powerful experiences.

The San Francisco Symphony presents more than 220 concerts and presentations annually for an audience of nearly 450000 in its home of Davies Symphony Hall and through its national and international touring. A cornerstone of the organizations mission the San Francisco Symphonys education programs are the most extensive offered by any American orchestra today providing free comprehensive music education to every first- through fifth- grade student in the San Francisco public schools and serving more than 75000 children students educators and families annually. The San Francisco Symphonys recordings have won such awards as Frances Grand Prix du Disque and Britains Gramophone Award as well as 16 Grammy Awards. San Francisco Symphony radio broadcasts the first in the nation to feature symphonic music when they began in 1926 today carry the Orchestras concerts across the 2004 the SFS launched the multimedia Keeping Score on PBS-TV and online and in 2014 the San Francisco Symphony inaugurated SoundBox an experimental performance venue and music series located backstage at Davies Symphony Hall. JOB SUMMARY

The Engagement Events Associate (EEA) serves as a strategic support partner for the implementation management and execution of Events for the Development Department. The EEA reports to the Associate Director Engagement Events (ADEE). The EEA will support the ADEE in organizing producing and managing best-in-class engagement opportunities primarily for Symphony donors members and prospects in response to each seasons repertoire and in alignment with the Symphonys strategic plan leading to increased engagement and philanthropic support. Additionally the EEA will support all fundraising events and coordinate other organizational events as needed.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  • With the support of the ADEE support the creation and implementation of a best-in-class events program that engages current and potential donors. Ensure events represent the Symphonys strategic mission vision and values and that themes speakers and programs feature a diverse and broad range of people and perspectives.
  • Help develop manage and execute a calendar of over 60 engagement events annually curated to engage various donor groups within the Symphony from the Friends level ($75) to Presidents Tier ($100K) Board of Governors major donor prospects Campaign donors corporate and foundation partners and legacy giving donors.
  • Collaborate closely with the ADEE to develop compelling and inspiring event programming and content that supports the organizations mission and drives philanthropic impact.
  • Identify and engage guest speakers SF Symphony leadership guest artists and members of the Orchestra to elevate event experiences.
  • Plan and execute assigned events throughout the season including but not limited to pre and post-concert receptions open rehearsals artist salons seated dinners and in-home events
  • Prepare event briefing documents talking points bios and scripts with relevant content and logistical information for Leadership relevant Board members SFS staff and musicians.
  • Manage timely event RSVP tracking and guest communications pertaining to donor events.
  • Manage calendar and scheduling of invitations mailings evites and all engagement event communications.
  • In coordination with the Editorial and Creative Services departments manage all digital and print event materials including invitations evites web collateral and other communications to Symphony guests and prospects.
  • Work collaboratively with other internal and external teams including Orchestra Personnel Education Operations Patron Services Artistic and Marketing to meet engagement event objectives.
  • Partner with the ADEE in strategizing and executing various future campaign engagement opportunities.
  • Maintain a strong working knowledge of Symphonys CRM donor database Tessitura to efficiently manage event processing data maintenance and provide exceptional donor service.
  • Regularly update event activity tracking in Tessitura while implementing best practices and creating efficiencies for data management.
  • Provide on-site event management for assigned events throughout the season.
  • Provide administrative support for fundraising events including Opening Gala Lunar New Year and Deck the Hall including but not limited to coordinating communications and collateral organizing mailings managing staff and crew meals assisting event committees and overseeing logistical tasks as assigned.
  • Manage other events and special projects as assigned.

Qualifications

MINIMUM QUALIFICATIONS

  • 3-5 years of experience in event management preferably in a fundraising organization and/or in the cultural sector
  • Proven ability to manage various event components ranging from season planning to taking RSVPs
  • Strong organizational skills with ability to work independently and manage highly detailed tasks.
  • Ability to handle multiple tasks and priorities and meet deadlines in a high-volume fast-paced environment.
  • Excellent communication skills both written and verbal.
  • Ability to professionally and diplomatically communicate and interact with a wide variety of internal and external stakeholders
  • Proficiency with Microsoft Office including Word Excel and Outlook
  • Excellent discretion judgment tact and diplomacy
  • Strong attention to details and ability to see the big picture
  • Solid knowledge and/or passion for orchestral music strongly preferred
