Position Summary
Reporting to the Executive Director (ED) of Events the Associate Director is one of the most experienced event planners within the office of Development Events and will have comprehensive knowledge of the plethora of events hosted by the office. The individual will maintain an event portfolio while overseeing the Chancellors Athletic collaboration with the ED the individual will maintain an annual events portfolio encompassing a variety of development-related events to which they are assigned. Each event will require detailed budget planning and oversight. This includes vendor negotiations contracts purchasing orders equipment projections and proper method of payment of all invoices. The individual will be responsible for budgetary planning for each event ensuring compliance with departmental and University purchasing and financial policies. Primary responsibilities are for the oversight and hands-on attention to ensuring that all activities from donor signature events to Chancellor-hosted activities stay within budget and ensuring compliance with funding rules. Additionally the Associate Director will serve as the subject matter expert ( SME ) of Davie events functionality and act as the primary liaison to the Business Analysts and Technical teams responsible for Davie customizations and integrations. This position will also work closely with the Broadcast Email Technician teams for technology related to event strategy such as invitations and websites. The Associate Director will work with these areas to inform guide and shape best practices for the office. The Associate Director works collaboratively amongst the entire events team while to ensure understanding clear communication and direction is available. They are not responsible for the day-to-day usage of these applications by Event Managers but the overarching processes and strategy. They will ensure the Event Support Specialist position receives UDO offered trainings related to current or future applications. The Associate Director is privy to and maintains the highest confidentiality of sensitive information concerning the Chancellor the Chancellors residence high-level donors.
Required Qualifications Competencies And Experience
This individual must have previous event management experience. Must be self-motivated proactive creative and extremely organized with great attention to detail and able to multitask and prioritize a great number of tasks/projects each day often in a fast-paced environment interacting with a wide range of people. This individual must have excellent customer service interpersonal and communication (both verbal and written) skills. This individual must be able to work relatively independently on many projects. This individual must have the ability to research quickly and find needed locations and vendors. This position demands excellent computer skills with proficiency in Word Excel Access and PowerPoint administrative skills and willingness to stay on top of the latest upgrades. Ability to work flexible hours including evenings and weekends. Must have reliable transportation to travel to various events.
Preferred Qualifications Competencies And Experience
Knowledge of the University and its physical campus. Prefer event management degree with emphasis in special events hospitality recreation and leisure. Experience working in a higher education institution or non-profit. Experience working with offices of Advancement Development and University leadership in higher education preferred.
Work Schedule
Monday-Friday 8:00am 5:00pm Occasional evenings and weekends.
