The University of Tennessee Foundation Inc (UTFI) invites applications and nominations to fill the position of Advancement Assistant III for the University of Tennessee Knoxville. Reporting to the Executive Director of Donor Experience the Advancement Assistant III is responsible for assisting in the execution of stewardship and donor recognition initiatives event planning and logistics and administrative support for the team.
This role will implement program needs assist with executive projects or campaigns as well as organize and support daily functions of the Donor Experience team.
Job responsibilities include but are not limited to:
Donor Relations and Stewardship: Execute stewardship gift acknowledgement efforts in coordination with team leadership including weekly and monthly printing mailing and digital distribution for multi-level gift acknowledgement matrix to thank donors. Assist with completing annual endowment report mailing to 4000 households including mail merge collation editing/proofing and mailing. Support research and redistribution of returned mail. Assist in execution of Scholarship Thank You Letter process including student outreach mail merge and distribution of letters to donors. Provide stewardship support for top-level donors including special communications impact reporting coding in the CRM and individual stewardship plans.
Event Management: Vendor coordination space reservation ordering and logistics for stewardship special events including donor/student scholarship luncheons and Grateful Vol Day. Support leadership with development of event itineraries bios name tags and other event needs.
Administrative: Maintain alumni and donor data integrity through regular updates to CRM. Work with team on needed financial reporting or look-ups in endowment/scholarship/gift source systems. Monitors email aliases and list serves for the Donor Experience team. Support Donor Experience team in processing invoices and expenses including travel expenses. Cross train on processing monthly reconciliation of ledge and procurement card statements contract processing. Assist Donor Experience team in calendaring scheduling meetings reserving meeting venues.
Required Education and Experience
The candidate who fills the Advancement Assistant III position is required to have:
A valid drivers license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate general any significant driving offense less than 12 months old will eliminate the application from consideration for the position.
