General Summary:

The Licensing Coordinator is responsible for managing all aspects of contractor licensing for Ace Electric and Ace Technologies across multiple states counties and municipalities in which the companies operate. This role ensures continuous compliance with state licensing boards federal contracting requirements and project-specific permitting for electrical low-voltage and related specialty work. The Licensing Coordinator works closely with leadership project teams qualifying agents and regulatory agencies to safeguard Ace Electrics eligibility to bid and perform work nationwide. The Licensing Coordinator reports to the President of Corporate Support.

Preferred Job Skills:

  • Experience in a large multi-state construction or electrical contracting company.
  • Familiarity with registration federal procurement processes and public works compliance.
  • Experience working with licensing boards and regulatory agencies across multiple jurisdictions.
  • Basic understanding of bond requirements and insurance certificates related to licensing.

Mandatory Hiring Requirements:

References Background Check Drug Screen Testing Valid Drivers License.

Responsibilities:

Contractor Licensing & Renewals:

  • Maintain track and renew all company and subsidiary electrical contractor licenses across all operating states counties and municipalities.
  • Prepare and submit license applications renewals and amendments in compliance with state board requirements.
  • Monitor expiration dates initiate renewals well in advance and prevent lapses in licensing.

Qualifying Agent (QA) / Responsible Manager Support:

  • Maintain records of all qualifying agents and their license credentials tied to company licenses.
  • Coordinate required continuing education testing and application renewals for QAs.
  • Assist in adding new QAs or transferring licenses when needed.

Federal & Specialized Registrations:

  • Maintain the companys registration for federal contracting eligibility.
  • Track and renew specialized licenses and registrations (e.g. fire alarm security low-voltage DoD base access FAA drone operations).
  • Complete the annual report filings maintenance per State through CSC Global.

Project-Specific Licensing:

  • Verify licensing requirements for new bids and awarded projects before work begins.
  • Obtain temporary or jurisdiction-specific business licenses and permits for new projects.
  • Support field and project teams with license verification for local inspections.

Compliance & Audit Support:

  • Maintain organized audit-ready records for all licenses supporting documents and agency correspondence.
  • Respond to state licensing board or municipal inquiries and compliance checks.
  • Support internal and external audits related to licensing and contractor eligibility.

Coordination & Communication:

  • Act as the primary contact with licensing boards regulatory agencies and compliance officers.
  • Communicate licensing requirements status updates and upcoming renewals to leadership and project teams.
  • Partner with HR to track employee licenses (journeyman/master electricians) for staffing projects when needed.

Systems & Reporting:

  • Maintain a centralized licensing database with automated alerts for upcoming renewals.
  • Ensure digital copies of licenses are accessible to leadership operations and project teams.
  • Generate monthly reports on license status renewals in progress and compliance risks.



Key Performance Indicators (KPIs)

  • License Renewal Timeliness: 100% of licenses renewed before expiration.
  • Audit Readiness: Zero compliance violations or project delays due to licensing issues.
  • QA Credential Compliance: 100% of qualifying agents meet continuing education and renewal requirements.
  • Project Licensing Accuracy: Zero project starts delayed due to missing or incorrect licenses.
  • Database Accuracy: Licensing database updated within 48 hours of any change or renewal.
  • Communication Responsiveness: All licensing-related inquiries responded to within 1 business day.



Position Requirements:

  • License:None required.
  • Certification: None required.
  • Education:High School Graduate or GED required. Bachelors degree preferred.
  • Experience:Minimum 3 years of experience in contractor licensing regulatory compliance or related administrative role.
  • Ability to develop strong knowledge of multi-state licensing requirements for electrical contracting including federal contracting requirements.
  • Proficiency with Microsoft Office Suite (Word Excel Outlook) and document management systems.
  • Strong organizational skills with the ability to manage multiple deadlines in a high-volume fast-paced environment.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.

Working Conditions:

  • Work in a climate-controlled office setting with varying degrees of stress and time pressure.

Required Physical/Mental Functions:

  • Comprehend and practice safe work procedures as outlined in Company Safety Handbook.

  • Read and interpret instructional manuals and written instructions.
  • Must hear and see well (either natural or with correction).
  • Must be able to bend stoop squat kneel push pull and reach overhead.
  • Able to lift objects weighing up to 20 pounds with frequent lifting and carrying of objects weighing up to 10 pounds.
  • Tolerant to prolonged sitting.
  • Repetitive use of arms hands and fingers.
