    POSITION SUMMARY:
    This role provides administrative and secretarial support to the Principal Director and the school ensuring smooth daily operations. Key responsibilities include data entry recordkeeping database management online registration inventory control purchasing billing financial reporting and subscription renewals. The position also involves scheduling meetings maintaining calendars answering and routing phone calls preparing correspondence analyzing reports organizing and managing files and handling incoming and outgoing the role may require assisting with translation and communication using second language skills. A strong emphasis is placed on fostering positive relationships and effective communication with students families staff and the broader community.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:
    • Deliver high-quality customer service to students staff families and visitors.
    • Maintain and manage student records including registration schedules withdrawals referrals letters and other required documentation.
    • Manage employee records including absences leave requests evaluations observations and changes in status or position.
    • Process purchase requests invoices timesheets mileage reports and work orders using designated online systems.
    • Oversee and reconcile all school-related accounts.
    • Monitor and provide support for online student registration processes.
    • Assist with substitute scheduling and management through the appropriate online platform.
    • Provide guidance troubleshooting and basic training on office equipment and software systems.
    • Organize and maintain physical and digital files records and subscriptions.
    • Design and maintain spreadsheets forms newsletters bulletins agendas and other documents as needed.
    • Answer phone calls and direct inquiries appropriately.
    • Coordinate and schedule school events meetings trainings activities and field trips.
    • Generate and distribute reports upon request or as required.
    • Sort process and distribute incoming and outgoing mail.
    • Maintain and update calendars for the school and administrative team.
    • Order supplies and manage inventory levels to ensure availability of necessary materials.
    • Provide support to the Health Assistant as needed.
    • Actively participate in mandatory training sessions and professional development opportunities.
    • Foster positive relationships with students staff and parents to encourage open communication and early resolution of issues.
    • Apply acquired knowledge and skills to enhance and support operational systems and workflows.
    • Perform additional duties as assigned or required in support of school operations.

    SUPERVISION/TECHNICAL RESPONSIBILITIES:

    Provide assistance with interviews training new hires assigning and directing work providing performance feedback addressing complaints and resolving problems.

    BUDGET AND/OR RESOURCE RESPONSIBILITIES:
    Maintain accurate recordkeeping.

    EDUCATION/TRAINING/EXPERIENCE:

    High school graduate or equivalent.
    Bachelors degree (preferred).
    Bilingual (preferred).
    Three (3) years job related experience (preferred).
    English fluency will be determined through the interview process.

    LICENSES OR CERTIFICATIONS:

    Valid Colorado Drivers License.
    Current CPR and First Aid (preferred or willing to obtain upon employment).

    ESSENTIAL PHYSICAL REQUIREMENTS:
    Frequent lifting 5 (five) to 10 (ten) pounds.
    Occasional lifting of up to fifty (50) pounds.
    Frequent sitting bending walking and standing.
    Occasional stooping kneeling squatting and reaching.

    WORK ENVIRONMENT:

    The noise level in the work environment is usually quiet.
    Mostly clean and comfortable.

    Principal or designee.

    LOCATION:
    Bishop Elementary School

    COMPENSATION:
    Hour rate $21.89 - $24.76 per hour depending on education and prior related experience.

    ADDITIONAL INFORMATION:
    New hires or rehires will be responsible for the fingerprint processing fee required for background checks through the Colorado Bureau of Investigation.
