Job Description

Position Title: Administrative Assistant to the Director of Student and Family Engagement
Location: ARPS Family Center Central Office
Supervisor/Evaluator: Director of Student and Family Engagement
Work Year: 12 Months
Position Type: Full-Time Non-Exempt
Salary: Per the current contractual agreement Grade H (subject to change based on role evaluation)

Position Overview:

The Administrative Assistant to the Director of Student and Family Engagement plays a vital role in ensuring the effective functioning of the ARPS Family Center and supporting district-wide efforts around student enrollment compliance family engagement and community partnerships. This individual works closely with families school staff and external agencies to help ensure that every student has equitable access to a high-quality educational experience.

This role requires strong organizational communication and technical skills and the ability to manage a variety of administrative systems and responsibilities with professionalism and cultural competence.

Key Responsibilities:

Administrative & Office Management

  • Coordinate scheduling correspondence office inventory and supply ordering.

  • Support budget tracking and vendor relations including purchase order processing through the Munis system.

  • Oversee logistics for family engagement events trainings meetings and district initiatives.

Student Enrollment & Attendance

  • Generate and organize attendance reports using PowerSchool and Google Sheets.

  • Support enrollment workflows and manage student data.

  • Coordinate and document residency hearings including communication with families and schools.

Data & Forms Management

  • Create and maintain Google Forms for attendance outreach and communication tracking.

  • Organize and analyze program data; maintain confidential student and family records.

  • Utilize spreadsheets and pivot tables to support reporting and compliance.

Communications & Outreach

  • Communicate with families through School Messenger ParentSquare and newsletters.

  • Update ARPS Family Center web content including registration details civil rights information and program updates.

  • Coordinate seasonal newsletter planning content development and publication.
  • Oversee Family Centers Closet a clothing program for students in the region.

Compliance & Program Coordination

  • Assist with documentation and reporting for Title VI and Title IX civil rights compliance.

  • Maintain records of training sessions 51A reports and program attendance.

  • Coordinate Handle With Care training with external partners and schedule juvenile program meetings with community agencies.

Before/After School & Family Support Programs

  • Track student participation in extended day programs.

  • Facilitate communication between programs and families.

  • Provide logistical and communication support including flyers and reporting.

Required Skills & Qualifications:

  • Demonstrated experience with:

    • Google Workspace (Docs Sheets Forms Drive)

    • PowerSchool (or similar SIS)

    • Munis or other procurement platforms

    • Communication tools such as ParentSquare or School Messenger

  • Strong organizational and time management skills; able to prioritize multiple tasks.

  • Excellent written and verbal communication skills.

  • Ability to work both independently and collaboratively across departments.

  • Bilingual (Spanish) skills are strongly preferred.

  • Experience working with diverse populations and commitment to equitable family engagement.

  • High level of discretion when handling confidential information.

  • Ability to take initiative and apply sound judgment.

Preferred Qualifications:

  • Experience working in a public school or educational setting.

  • Knowledge of Massachusetts state regulations related to enrollment civil rights and student records.

  • Familiarity with family and student support services.
