Job Title: Administrator National Real Estate Operations
Company: H2 Christies International Real Estate
Location: Tokyo
Reports To: Executive Leadership H2 Christies International Real Estate


Role Summary:

H2 Christies International Real Estate is seeking a seasoned and strategic National Real Estate Operations Administrator to support and standardize all back-office compliance and transactional operations across our offices in Japan including Tokyo Niseko Furano and future expansion markets. This role is instrumental in building a scalable high-performance luxury real estate brokerage under the prestigious Christies brand.

As a key operational support you will ensure that all regional offices deliver consistent compliant and efficient support to agents and clients alike. You will play a pivotal role in integrating systems and processes across geographies while driving a culture of operational excellence and continuous improvement. This person is repeatable for contract administration across all the offices.


Key Responsibilities:

  • Operational Standardization:
    Develop and enforce comprehensive Standard Operating Procedures (SOPs) for contract administration transaction management and compliance functions across all offices.
  • National Oversight:
    Lead the national contract administration function with dotted-line management of regional operations teams ensuring coordination accountability and consistency.
  • Regulatory Compliance:
    Ensure full compliance with Japanese real estate laws and Christies International Real Estate brand standards. Proactively manage contractual timelines and risk mitigation.
  • Performance Management:
    Establish track and report on Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) to ensure optimal operational performance nationwide.
  • Cross-Functional Collaboration:
    Partner closely with the Managing Directors of Tokyo and Hokkaido to align operational workflows with front-end sales activities for seamless client experiences.
  • Technology Implementation:
    Oversee the rollout and adoption of key platforms and tools including CRM systems RightSignature listing platforms and compliance checklists to drive efficiency and scalability.
  • Talent Development:
    Lead recruitment onboarding and continuous training programs for operations staff to ensure high competency and career growth opportunities.
  • Strategic Expansion Support:
    Play a central role in supporting new market entries licensing procedures and regulatory preparedness in line with company growth objectives.
  • Corporate Liaison:
    Serve as a key interface with H2 Groups finance legal and IT departments to align and support national operational goals.


Qualifications:

  • 3 years of experience in real estate operations preferably in a multi-regional or international setting.
  • Strong understanding of Japanese real estate law and regulatory frameworks.
  • Proven track record of implementing scalable operational systems and processes.
  • Experience with CRM platforms digital signature tools and real estate transaction technologies.
  • Excellent leadership and team management skills across geographically dispersed teams.
  • Strong project management and change leadership capabilities.
  • Bilingual proficiency (English and Japanese) preferred Japanese mandatory.
  • Real estate licenses are mandatory.
