Otterbein has an exciting full-time opportunity for a Clinical Scheduler / Central Supply Coordinator / Medical Records Technician. This role is essential in supporting the clinical team by maintaining accurate medical records preparing and managing nurse and nurse assistant schedules to ensure regulatory compliance and ensuring all necessary supplies are available for quality resident care. The ideal candidate will be detail-oriented organized and collaborative working closely with nursing leadership direct care staff and other departments to meet Otterbein standards.
Responsibilities
Scheduling
Completes and maintains schedules for Nurses STNAs and Resident Assistants to ensure compliance with regulatory requirements and Otterbein guidelines.
Assists with finding coverage for open shifts in the Nursing and Assisted Living Departments.
Works creatively and collaboratively with nurse leadership and direct care staff to minimize the use of contract staff.
Medical Records
Organizes plans and directs the medical records section as directed by the Director of Nursing following all policies procedures and applicable regulations.
Maintains all new and re-admission files ensuring all required record information is complete and accurate.
Ensures resident histories physicals and discharge records are current and accurate.
Maintains confidentiality of all resident information releasing details only per established policies and procedures.
Retrieves information for insurance companies Medicare physicians and other authorized personnel while maintaining strict confidentiality.
Collects assembles checks codes and files resident charts according to established procedures.
Conducts periodic audits of resident charts and reports discrepancies.
Central Supply & Inventory
Monitors the status and quantity of medical supplies and ancillary products for the Nursing and Assisted Living Departments.
Orders medical supplies and other necessary products to support resident care.
Maintains inventory and ensures supply rooms are fully stocked for clinical staff.
Additional Duties
Ensures work and assignment areas are clean and all records files and supplies are properly stored before leaving the area.
Adheres to infection control PPE usage and safety protocols including enhanced COVID-19 prevention measures.
