Job Description

We are working with a prominent healthcare leader in Sri Lanka. This organization is part of a large well-respected conglomerate and is renowned for its commitment to excellence in healthcare and employee well-being. Were currently seeking a dedicated and efficient Personal Assistant to the HR Director to join their team in Colombo.

This is a crucial support role where you will directly contribute to the efficiency and effectiveness of the HR Director and the wider Human Resources department. Youll be instrumental in managing schedules facilitating communication and ensuring smooth operations within a critical function of a leading healthcare provider.

What Youll Do:

As the Personal Assistant to the HR Director your key responsibilities will include:

  • Calendar and Schedule Management: Meticulously managing the HR Directors complex calendar scheduling meetings appointments and travel arrangements and ensuring timely reminders.

  • Communication Hub: Acting as a primary point of contact screening and prioritizing incoming calls emails and correspondence and drafting responses on behalf of the HR Director when appropriate.

  • Meeting Support: Preparing meeting agendas compiling necessary documents and presentations taking accurate minutes during meetings and tracking action items for follow-up.

  • Document Preparation: Preparing formatting and editing various HR-related documents reports presentations and confidential correspondence with a high degree of accuracy and professionalism.

  • Travel Coordination: Arranging domestic and international travel logistics including flights accommodation transportation and visa applications.

  • Expense Management: Processing expense reports and managing invoices ensuring accuracy and timely submission.

  • Information Management: Organizing and maintaining physical and electronic filing systems ensuring confidentiality and easy retrieval of critical documents.

  • Project Assistance: Providing administrative support for various HR projects and initiatives coordinating tasks with different teams as required.

  • Confidentiality & Discretion: Handling highly sensitive and confidential information with utmost discretion professionalism and integrity.

  • Office Administration: Assisting with general administrative tasks for the HR department as needed including stationery orders courier services and managing office supplies.

What Were Looking For:

  • A Diploma or Bachelors degree in Business Administration Secretarial Studies Human Resources or a related field.

  • Proven experience (typically 2 years) as a Personal Assistant Executive Assistant or Senior Secretary supporting a Director-level or C-suite executive.

  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively in a fast-paced environment.

  • Outstanding written and verbal communication skills in English. Proficiency in Sinhala and/or Tamil is an added advantage.

  • Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) is essential.

  • High level of professionalism integrity and discretion when handling confidential information.

  • Proactive resourceful and able to anticipate needs and take initiative.

  • Strong interpersonal skills with the ability to build rapport with internal and external stakeholders.

  • Attention to detail and a commitment to accuracy.

  • Ability to work independently with minimal supervision and as part of a team.

  • Prior experience in the healthcare sector or a large corporate environment is beneficial.
