Duties & Responsibilities

TENDER ADMINISTRATOR (Corporate Services: Business Development & Bids) CBD Western Cape SA

Global Strategic Management Consulting firm is looking to recruit a Tender Administrator into their Cape Town office.

You will provide administration and project support to the Bid Team and will be assisting the Senior Bid Coordinator in driving lead generation and expanding the business.

Main Purpose of the role:

You will support in the process of finding work and with identifying any new key client strategies that are published whilst working with the Business Development Manager Bid Team and Consultants.

You will also manage tender portals produce and maintain bid team documentation as well as co-ordinate tender opportunity monitoring and reporting.

Key responsibilities:

  • Assist in opportunity identification tracking and pipeline management through the management of various tender subscription portals and opportunities as well as tender mailboxes.
  • Co-ordinating the application process for registration with clients / vendors databases and Organs of State (e.g. CSD WCSD and Ariba).
  • Uploading opportunities in the bid system and ensuring that data and information are accurate and current.
  • Assist with identifying any new key client strategies etc. that are published.
  • Complete Pre-Qualification Questionnaire (PQQs) and liaise with other parts of the organisation to ensure PQQ information is relevant and up-to-date.
  • Prepare weekly and monthly reports for department meetings. Following up actions from opportunity circulation and department meetings with appropriate people as required.
  • Maintaining a company database of associates.
  • Ad hoc assistance with preparation of presentations and pitches for prospective clients.
  • Ensuring Bid Team and Consultants are aware of projects won and lost.
  • Provide information and tender support to the Bid and Business Development teams.
  • Working with the BD team to ensure information relevant to the business development process is available and shared efficiently & effectively within the company.

Skills Qualifications and Experience required:

  • Diploma in Business Administration/ Diploma in any other relevant field
  • Minimum of 2 years experience within tender/bid administration (tender trawling) within/or specifically a business consulting environment
  • Previous experience of managing tender portals writing PQQs uploading tenders (Advantageous)
  • Advanced proficiency with MS Office
  • Highly proficient in Excel

Key skills and attributes:

  • Good communication (written and verbal) numeracy presentation and analytical skills.
  • IT proficiency especially high proficiency with Microsoft Office.
  • Excellent coordination and planning skills.
  • Ability to take initiative prioritize and manage workload.
  • Ability to work independently and as part of a team.
  • Strong networking skills.
  • High attention to detail accuracy and strong organisational skills.
  • Confident assertive and capacity to cope with heavy workloads and tight deadlines.
  • Ability to exercise appropriate judgement and discretion especially when handling confidential information.
  • Strong work ethic and demonstrable high standards of achievement.
