University of Miami Pre-College offers both credit and non-credit summer programs for high school students seeking to gain college experience before graduating from high school. Upon completion participants feel better prepared for the undergraduate admission process and gain confidence in their academic choices and ability to succeed in college.
Pre-College programs include the Summer Scholars three-week credit program and UM Academies two-week non-credit program for high school students (rising sophomores juniors and rising seniors) and specialty Academic Year courses. Combined the programs host approximately 700 students.
With health safety and wellbeing as our priority we strive to provide an inclusive authentic campus experience for our pre-college students filled with stimulating academics engaging programming and unique weekend excursions.
Program Manager Pre-College
Position Description:
Reporting directly to the Director the Program Manager provides critical leadership and operational support for the planning delivery and evaluation of the Pre-College Programs. This position manages all enrollment processes serves as a core member of the leadership team and is responsible for coordinating logistics supervising student employees supporting housing operations and facilitating communication across all stakeholdersincluding students parents faculty and campus partners. The Program Manager plays a pivotal role in creating a safe high-quality and enriching summer experience for high school students.
Key Responsibilities (50% of Position):
Admissions & Enrollment Management
- Manage the full admissions cycle for 1500 applicants and enrollment of 700 students.
- Coordinate with Slate Canelink and relevant campus systems to track student data process registrations and ensure accuracy in enrollment records.
- Oversee applicant and parent communication throughout the admissions process.
- Ensure timely issuance of international documentation (e.g. I-20s).
- Coordinate with Undergraduate Admissions and Financial Aid for scholarship awards and international review.
Program Logistics & Student Services
- Coordinate with Housing and Conference Services to manage rooming assignments updates and housing logistics.
- Collaborate with the Director to ensure successful move-in/move-out daily check-ins field trip logistics dining coordination and risk management.
- Track and resolve special accommodation requests (medical dietary academic).
- Serve as a liaison for classroom scheduling and instructor communication.
- Support the creation and distribution of the student handbook and pre-arrival materials.
OTHER RESPONSIBILITIES
Staff Hiring Training & Supervision (20 %)
- Assist the Director in the recruitment and onboarding of Pre-College Leaders (PCLs) and Housing Managers.
- Coordinate staff training schedules materials and feedback processes.
- Oversee timesheets student employment paperwork and evaluations for student staff.
- Serve as a supervisor-on-call for escalated student concerns during the summer session.
Budget Oversight & Vendor Coordination (10%)
- Assist in budget tracking and forecasting; monitor payment timelines and ensure billing accuracy.
- Coordinate third-party billing and CBO sponsorship processes.
- Manage contracts and invoices for vendors (bus companies catering event photographers etc.).
Marketing & Communications (5%)
- Manage pre-college website updates and content revisions.
- Develop annual marketing calendar; draft e-blasts postcards and digital content.
- Schedule summer photo shoots and create visual assets for future recruitment.
- Collaborate with central marketing to align with broader university messaging.
Data Reporting & Assessment (5%)
- Develop and manage dashboards tracking application numbers enrollment trends and yield rates.
- Facilitate post-program student parent and staff evaluations.
- Lead data collection for grant reports budget justifications and executive summaries.
Residential & Emergency Response (10%)
- Reside on campus during training and the duration of the program.
- Participate in duty rotation serve as emergency response contact and support residential student wellness.
- Partner with the Director to facilitate field trip planning medical documentation tracking and parent notifications.
Qualifications:
- Bachelors degree required; masters degree in education Student Affairs or related field strongly preferred.
- Minimum 35 years of experience in student programming admissions or youth leadership.
- Experience with Slate student information systems (CaneLink or similar) and project management tools.
- Strong interpersonal organizational and conflict resolution skills.
- Prior residential life summer programming or crisis management experience preferred.
- Valid drivers license; cleared to drive university vehicles.
Additional Information:
- Must be Level II Background Check compliant and approved to work with children that are minors.
- Required to live on campus from mid-June to programs conclusion.
- Evenings and weekends required mainly during program training and while in summer session.
- Moderately demanding role requiring physical actions such as standing walking lifting and moving objects (rolling tables chairs coolers boxes etc.)
- This position is exempt and may require extended hours in peak seasons.
- Performs other job-related duties as assigned.
