Summary: As a Dental Patient Service Representative (PSR) you will uphold our Mission Vision and Values. You will serve as the first point of contact for patients and support the front office by managing check-in and check-out answering phones verifying insurance scheduling appointments collecting payments and ensuring accurate documentation in the EMR and related dental software. This position is key to providing a smooth professional and compassionate patient experience. The current schedule for this role is Monday to Thursday 7:30a to 5p. - Greet and check in patients; register new patients.
- Ensure accurate demographic financial and insurance documentation.
- Notify the clinical team promptly of patient arrivals.
- Answer multi-line phones professionally and efficiently.
- Schedule appointments for dental providers.
- Comply with agency policies and procedures including HIPAA and corporate compliance.
Vision ODHS preferred partner in East Central Indiana for improving the well-being of individuals and the communities in which they live:
- Triage incoming calls and ensure daily phone coverage from 8:00 AM to 5:00 PM in coordination with fellow PSRs.
- Maintain accurate and up-to-date patient records in the EMR and related software.
- Confirm appointments and support recall efforts.
- Prepare charts in advance ensuring forms records and insurance documentation are complete.
- Verify insurance eligibility and submit pre-estimates and prior authorizations.
- Understand Medicaid dental coverage and Indiana Managed Care Entities (MCEs) to support eligibility and authorizations.
- Collaborate with billing staff on insurance and payment issues.
- Accurately enter insurance and authorization details in Dentrix.
- Schedule and document external referrals.
- Provide front desk coverage at alternate dental locations as needed.
- Cover the front desk when the other PSR is unavailable.

- Send no-show letters as needed.
- Collect co-pays pre-payments and outstanding balances at time of service.

- Reschedule patients due to provider changes or other disruptions.
- Provide compassionate respectful service to all patients.

- Participate in daily huddles team meetings and improvement initiatives.
Education and Experience:
- High school diploma or GED required.
- Business or technical training preferred.
- Experience in a dental or medical front office preferred.
- Proficiency or willingness to learn Dentrix and other dental systems required.
Strong knowledge of insurance portals Medicaid dental coverage and Indiana MCEs preferred.

Physical and Environmental Requirements:

- Requires normal vision and hearing (with or without assistive devices).
