Streamline client journeys and ensure compliance excellence for Australian financial advice services.


Job Overview
We are seeking a highly organised and detail-oriented Adviser Support & Workflow Coordinator to assist in delivering timely accurate and compliant financial advice and investment services. This role covers the full client lifecycle from onboarding and compliance tracking to document preparation and implementation leveraging both industry-standard platforms and AI-powered tools. The ideal candidate will have strong experience in Australian financial services AdviserLogic CRM and leading wealth management platforms.

Requirements

Key Responsibilities

Client Onboarding & Scheduling

  • Schedule confirm and follow up on client meetings.

  • Prepare onboarding documents service agreements and collect KYC information.

  • Enter and update client details in AdviserLogic accurately.

  • Use AI tools to convert audio recordings to diary notes assist with document creation and manage follow-ups.

Workflow Management & Compliance

  • Track client cases in AdviserLogic ensuring deadlines and compliance requirements are met.

  • Maintain digital records for audit purposes.

  • Prepare review documents meeting packs and correspondence leveraging AI-powered tools when appropriate.

Client Service & Communication

  • Prepare diary notes using AI transcription tools.

  • Manage client inquiries via email and follow up on pending matters.

  • Process advice execution including investment and platform applications.

  • Liaise with investment platforms super funds and third-party providers to ensure smooth onboarding and transfers.

Task & File Management

  • Use AdviserLogic and AI-driven trackers to manage tasks and monitor pending actions.

  • Proactively follow up with advisers and third parties on overdue items.

  • Support workflow compliance checks and general administrative duties.


Qualifications

  • Minimum 2 years experience in adviser support paraplanning or virtual assistant role within Australian financial services.

  • Proficiency in AdviserLogic CRM and Microsoft Office Suite.

  • Experience with Australian wealth management platforms (e.g. Netwealth BT Panorama HUB24 Macquarie Wrap).

  • Familiarity with AI tools such as ChatGPT Microsoft Copilot and transcription tools like .

  • Strong written and verbal communication skills in professional English.

  • Knowledge of Australian financial advice compliance (SOA/ROA requirements privacy regulations).

  • Bachelor s degree in Business Commerce Finance Accounting or related field (additional certifications in financial planning or compliance preferred).

  • Highly organised proactive and able to work independently in a remote environment.
