Our client is a pioneering construction company based in Pakenham Victoria and serves as the construction arm of Growth Syndicates Australia (GSA) a distinguished property developer in Melbourne. With projects valued at over $100 million they are revolutionizing the construction industry through innovative technologies and sustainable practices. Their state-of-the-art factory enables the production of essential home components allowing for the completion of homes within a remarkably short time frame of 6 to 8 weeks. Committed to environmental sustainability our client integrates advanced robotics and AI tools to minimize waste and enhance efficiency in their construction processes.
As an Administrator You will play a crucial role in ensuring the smooth operation of office functions managing administrative tasks and supporting various departments including finance procurement and human resources. Your responsibilities will encompass coordinating office procedures handling financial transactions maintaining records and ensuring compliance with company policies. This position demands a high level of organization attention to detail and the ability to work collaboratively in a fast-paced environment.
JOB DESCRIPTION AS AN ADMINISTRATOR
Your Responsibilities as as Administrator will be:
General Administration:
Manage scheduling meetings and appointments for executives and staff.
Maintain and update records databases and filing systems.
Prepare reports documents and presentations as needed.
Ensure compliance with company policies regulations and legal requirements.
Invoicing & Financial Administration:
Process track and manage invoices ensuring timely payments and accurate record-keeping.
Reconcile invoices with purchase orders and contracts to ensure accuracy.
Maintain financial records and assist with expense tracking and basic bookkeeping.
Coordinate with finance and accounting teams to support budget management.
Procurement & Vendor Management:
Manage office and support production procurement including sourcing purchasing and inventory control.
Negotiate contracts with suppliers to ensure cost-effective and quality procurement.
Collaborate with production and construction teams to ensure their procurement requirements are met.
Monitor vendor performance and maintain strong relationships with suppliers.
Ensure all purchases comply with company policies and budget guidelines.
Human Resources & Office Support:
Support HR functions such as onboarding employee record management and timesheet processing.
Assist with the recruitment process by coordinating interviews and documentation.
Qualifications as an Administrator:
Atleast 2-3years Proven experience in an administrative role with invoicing and procurement responsibilities.
Experience working with Australian business/es in the similar industry (construction design or manufacturing) is highly desired
Experience with document control system such as Autodesk Construction Cloud is a plus
Strong organizational problem-solving and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and accounting software.
Ability to work independently and collaboratively in a fast-paced environment.
Strong attention to detail and numerical accuracy.
