Description

Prospective officers and staff must be held to a higher standard of behaviour and accountability than members of the public and that therefore their right to privacy can be fettered in certain circumstances. This is to ensure that members of the police are fully aware and accountable for the unique powers entrusted to them and the standards of professional behaviour they swear to uphold.

To provide a dedicated secretarial service to include diary management and related administrative support to Senior Command Team members (Superintending ranks and above) or staff equivalent.

The post is full time based on a 36.5 hours per week Monday to Friday however the post holder will be required to: To be flexible and to work such additional hours that may be required for the efficient and effective delivery of the People Services function. There may be a requirement at times to travel to other locations within the Force area.

Key Responsibilities:

  • Effective meeting/diary management including room bookings.

  • Minute taking including for audit and legal purposes as well as at hearings (as required).

  • Meeting and greeting visitors.

  • Creation and management of correspondence.

  • Maintaining the complaints log

  • Local rewards and recognition management including arranging organising and attending ceremonies.

  • Managing the Gifts and Hospitality register.

  • The collection and distribution of internal and external mail.

  • To maintain personal and professional development to meet the changing demands of the job participate in appropriate training activities

  • To undertake other such duties training and/or hours of work as may be reasonably required and which are consistent with the general level of responsibility of this job To undertake health and safety duties commensurate with the job and/or as detailed in the Forces Health and Safety Policy

Essential Skills:

  • Significant secretarial experience

  • Significant experience of effectively undertaking administrative duties

  • The ability to take notes/minutes accurately and produce associated documents in a timely manner

  • Excellent IT skills including use of Office 365 especially outlook as there is a requirement to manage multiple calendars

  • Experience of developing effective working relationships with a wide range of stakeholders.

  • Experience of managing and prioritising own workload

  • Effective verbal and written skills which can be adapted for a range of audiences.

  • Acts in a collaborative way that engages with people at all levels

  • Possess a high degree of accuracy and attention to detail.

  • Highly motivated and resourceful with good time management

  • Good knowledge of what excellent service delivery looks and feels like.

  • Resilient

  • Proactive

  • Emotionally aware and empathetic

Desirable Skills:

  • Experience of developing and maintaining standard operating procedures processes and audit controls.

  • Experience of working in a transactional & customer service delivery environment and effectively dealing with customers.

Vetting: Successful applicants will be required to pass Recruitment Vetting and Counter Terrorism Clearancescrutiny prior to commencing their role this will include a full background & financial disclosure as part of the vetting process.

Medical: Appointment to this role may be dependent upon successfully completing medical checks which may include a drugs test and if required a fitness test.
