Position Overview:Gould Killian CPA Group is seeking a detail-oriented and motivated Administrative Assistant to join our team. This role is ideal individuals that want to work collaboratively in a fast-paced environment to provide excellent client service. The Administrative Assistant is a first point of contact for the firm and should exhibit strong interpersonal analytical and problem-solving skills.
Principle Responsibilities:
Client Service
Answer phone calls professionally and assist clients or direct them to appropriate personnel
Greet clients and visitors in a professional and welcoming manner
Schedule appointments with clients staff and outside vendors for partners and managers
Workflow and Processing
Oversee all incoming and outgoing mail/shipping
Assist in keeping client data such as addresses phone numbers emails etc. updated by completing client update forms
File physical and digital documents according to firm document retention policies
Administrative Support
Perform opening and/or closing office activities
Manage petty cash overseeing process to include ongoing documentation and reconciliation under direction of Office Manager
Ensure all deposits are tallied documented and prepared for the Office Administrator.
Oversee the purchase of materials for employee gifts and recognition
Order meals for meetings as requested to include set up and breakdown for meals
As the needs of the firm evolve there may be other duties as requested.
Qualifications
An associates degree or bachelors degree (preferred but not required)
Proficient with Microsoft Office software suite
Flexibility to work overtime as needed during reasonably predictable time periods
Skills & Abilities
Excellent verbal and written communication skills
Ability to handle sensitive information with discretion
Desire to learn firm procedures and software
Desire and ability to collaborate with team toward a common goal
Strong organizational and multitasking abilities
