Job Description
Western Nevada College is recruiting for an Accounting Assistant 3. This position does not provide layoff rights and is contingent upon funding. This position is full-time and located at our Carson City Campus.
Responsibilities include:
Accounts Payable & Purchasing
Review and process invoices expenses reports and Ad Hoc Payments ensuring accuracy and compliance in accordance with WNC and NSHE procedures
Assist new vendors with the registration through NSHE Suppliers Registration
Review and process requisitions for independent contractors and guest speakers
Monitor the purchasing email and personal email account and provide timely responses to inquiries
Process weekly Accounts Payable settlements; may perform multiple payment runs during fiscal year-end close
Responsible for managing and submitting Procurement Card (P-Card) applications for approved employees
Review and approve P-Card transactions according to NSHE regulations and WNCs Procurement Cardholder Manual
Perform other duties as assigned by the Assistant Controller
Banking and Cash Reconciliation
Perform daily cash reconciliations for approval by the Assistant Controller
Process remote check deposits as needed and prepare necessary documentation
Responsible for daily banking ensuring ACH and wires are posted timely and variances are resolved and recorded
Complete and verify monthly petty cash reconciliations for Carson City and Fallon Campus in line with internal controls
Take physical deposits to the bank as necessary following established procedures and timelines
Fixed Assets/Inventory Control
Manage and oversee all fixed assets throughout all WNC campuses
Act as the primary campus contact for fixed asset inquiries
Coordinate collaborate and performance annual inventory with the assistance of campus departments ensuring assets are verified and scanned into the AssetWorks system
Manage year-round asset transfers and coordinate surplus pickups including the proper disposal of decommissioned assets in collaboration with BCN purchasing
Serve as the campus representative for the monthly Asset User Group meeting
Travel and Requisition Processing
Meet with college staff to determine travel needs and assist in booking travel arrangements including hotel airfare and conference registration
Accurately code and reconciled travel-related expenses in Workday and ensure compliance with NSHE and WNC guidelines
Assist employees with completing travel expense reports and provide training on travel processes as needed including during WNCs biannual professional development weeks
Serve as the campus representative for the Workday Expense User Group meetings
Collaboration and Committee Participation
Participate in NSHE Workday User Group meetings
Provide campus wide support regarding questions on accounts payable expense reports and P-Card usage
Foster collaborative professional relationships with faculty staff and students in support of institutional goals
Cashiering and Customer Service Support
Serve as a backup cashier assisting students and the public with account inquiries payment processing and general front-desk support
Required Qualifications
This position requires graduation from high school or equivalent education and three (3) years of progressively responsible clerical accounting experience which included duties such as responsibility for accounts payable accounts receivable payroll and/or other accounting data; setting up computer spreadsheets to record track organize and report data; researching and interpreting financial to data prepare reports and respond to budget and accounts related inquiries; and reconciling accounts; OR
One (1) year of experience as an Accounting Assistant II in Nevada State service which included clerical accounting duties as described above; OR
An equivalent combination of education and experience as described above
Schedule
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
Compensation Grade
Grade 27
In classified service salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment the candidates qualifications internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
