Program Manager - Office of Student Affairs

Job Description Summary:

The Program Manager oversees the lifecycle of all Office of Student Affairs events from ideation to implementation including A Grand Affair Hooding orientations Senior Banquet and more. The role is student-facing and has a lot of direct student contact. This position also serves as the point person for the office regarding systems usage and content management. The role is integral to the success of the office by maintaining high quality events and programming along with ensuring that our offices content within systems is up-to-date accurate and effective.

Job Description:

Student Affairs Event Management

  • Conduct short and long-term planning and management for the Office of Student Affairs curricular and celebratory events (listed below) which include but are not always limited to:

    • Trumba (event calendar) management (adding editing detailing events).

    • Room reservations.

    • A/V reservations.

    • Contracting vendors (food event supplies etc.).

    • Coordinating program participants (speakers facilitators attendees etc.).

    • Paying invoices processing reimbursements etc.

    • Tracking expenditures managing budgets.

    • Creating communications (copywriting editing email campaigns etc.).

    • Events List:

      • M1 Orientation (5-day event for incoming medical students).

      • M2 Orientation (1-day event for returning medical students).

      • Transition to Clerkship (4 half-day programs for third year medical students).

      • Medicine as a Profession sessions (every 9 weeks for M1 and M2 classes).

      • A Grand Affair (school-wide 1200-person gala).

      • Match Day (graduation class guests announcing residency placements).

      • Senior Banquet (graduation awards banquet and presentation).

      • Graduation Week (serve as liaison to student graduation committee and their week-long events schedule).

      • Hooding Ceremony (culmination of medical school for students and guests).

School of Medicine Hooding and Awards Ceremony Lead

  • Lead planning committee in conducting short and long-term planning and management for School of Medicine Graduation ceremony:

    • Manage program and event run of show (script platform party instructions student instructions setup signage seating volunteers supplies student rsvp faculty rsvp faculty regalia rental etc.).

    • Develop timelines for committee to track necessary tasks through planning process.

    • Point of contact for M.D. students and SOM departments.

    • Coordinate communications to M.D. students and faculty.

  • SOM representative for KUMC-wide Recognition planning efforts.

Student Affairs Content Management

  • Manage Student Affairs webpage which houses repository of information resources documents forms and links for students in all four classes on all three campuses.

  • Annual updates (schedules orientation information etc.).

  • Build out webpages for necessary events organizations and OSA initiatives.

  • Assess for opportunities within professional programming for additions to website.

  • Develop departmental subject matter expertise for various systems.

  • Act as the liaison to KITS on behalf of department.

  • Serve as department lead and point-of-contact on communications updates and modifications to systems utilized by department.

Medical Alumni Societies Administrator

  • Conduct short and long-term planning for society events which includes room and tech reservations contracting vendors coordinating program content facilitating catering orders paying invoices and managing communications for:

    • Monthly student leadership meetings.

    • Monthly society lunch professional development meetings.

    • Society Field Day.

    • Student recognition programming.

  • Track finances across six Kansas City societies (monthly lunches socials service events orientation events reimbursements student/faculty development and other associated events).

  • Track yearly programming across six Kansas City societies.

Student Affairs Professional Program Development

  • Assist in conceptualizing student affairs and societies program content in alignment with graduation competencies and educational frameworks for personal and professional development.

  • Review data and evaluations from past events for quality improvement and opportunities.

  • Attend and if applicable coordinate meetings to facilitate on-going program management and development.

Required Qualifications

Education:

  • Bachelors degree in a relevant field. Education may be substituted for experience on a year for year basis.

Work Experience:

  • One (1) year professional experience in an academic setting.

  • One (1) year experience in event planning.

Preferred Qualifications

Education:

  • Masters degree in higher education student affairs or another appropriate discipline.

Work Experience:

  • Three (3) years professional experience in event planning

  • Three (3) years professional experience working with collegiate students.

  • Three (3) years professional experience with management of CRM software databases.

Comprehensive Benefits Package:

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including but not limited to education experience and training qualifications relative to the requirements of the position and funding. At the University of Kansas Medical Center a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range taking into account the combination of factors listed above.
