- Timely communication with clients (Emails phones face-to-face).
- Ensure the smooth running of an event from conception to completion with the client.
- Weekly meetings with relevant departments and tasks are to be uploaded to TEAMS.
- Follow up on outstanding tasks to ensure deadlines are met.
- Open and clear communication with relevant departments to ensure service is delivered in accordance with clients expectations.
- Quotations to clients (highlighting our offerings).
- Invoicing clients for upcoming events.
- Reconciling invoices and weekly checks/follow-up of the debtor s schedule.
- Creating action lists for events and circulating to departments every week.
- Ownership of the Club s social calendar.
- Monitor crockery cutlery glassware tables chairs and linen stock levels to ensure sufficient availability for all events.
- Management of vendors and suppliers.
- Ensure the cost of running events is within budget.
- Conduct post-event evaluations.
- Ensure Health & Safety measures are observed at all events.
- Be alert of cart parking and traffic control for events.
Requirements
- Recognised degree or diploma in Events Management Marketing Communications or related field.
- 3-5 years of experience in events management brand activation and experiential marketing.
- Proven track record of successfully planning executing and managing large-scale events and activations.
- Excellent project management and organisational skills with the ability to juggle multiple priorities in a fast-paced environment.
- Exceptional interpersonal and communication skills with the ability to manage relationships with internal and external clients.
- Ability to work independently and as part of a team.
- Creative thinker with a keen eye for detail and a passion for creating memorable brand experiences.
