Position : Executive Assistant
Work Hours (Client) : 9:00am - 6:00pm EST
Pay Range : $800 to $1500

As our Executive Assistant you wont just be managing calendars youll be helping shape the future of the business. This role is critical in supporting our CEOs productivity improving operational efficiency and serving as a right-hand partner who can grow with the company over time. Think of it as a mini-me role ideal for someone who thrives on variety problem-solving and building smarter systems.
Key Responsibilities
- Manage multiple calendars scheduling across business and personal priorities
- Handle email inbox management draft replies and follow up on key communication threads
- Draft and send client proposals and contracts using pre-built templates
- Attend meetings take notes and send professional follow-up emails
- Support with sales pipeline management and client follow-ups (rescheduling missed meetings etc.)
- Assist in CRM setup and maintenance (ClickUp HubSpot GoHighLevel)
- Learn and implement new tools or courses (e.g. Meta Ads course) to support ongoing operations
- Help with social media content management and process automation using AI tools
Qualifications
- 2 years experience as an Executive Assistant or in a similar client-facing operational support role
- Excellent spoken and written English
- Strong organizational skills with the ability to prioritize and problem-solve independently
- Tech-savvy and comfortable learning new tools quickly
- Proficient with Google Workspace (Docs Sheets Calendar Gmail)

- Consistent and proactive communication with minimal follow-up needed
- Smooth handling of scheduling client follow-ups and task tracking
- High responsiveness and reliability (within a 15-minute window during core hours)
- Positive feedback from the CEO on task execution and decision-making
