Position : Customer Service/Operations Admin
Working Schedule : 8a-5p Arizona Time (currently PST)
Salary Range :$1200-$2000 USD Monthly (the final salary will be determined by the candidates level of experience and at the discretion of the client)

We are looking for a proactive highly organized individual to join our team. Combining customer-facing support with behind-the-scenes operations administration. You ll play a vital part in ensuring smooth day-to-day operations supporting everything from billing and scheduling to CRM maintenance and internal coordination. Key Responsibilities
Customer Service Support

Act as the first point of contact for customer inquiries via phone email and chat.

Provide clear accurate information regarding our services scheduling and processes.

Resolve customer concerns efficiently escalating issues when necessary.

Maintain and track all customer interactions in our CRM (Zoho).

Follow up with clients to ensure satisfaction and high-quality service delivery.
Operations Administration

AR & Billing Support:
Assist with invoicing (HOA and residential) payment tracking and basic collections to ensure accurate and timely billing cycles.

Work Order Management:
Receive and route new work orders in FieldRoutes ensuring efficient scheduling and technician dispatch.

FieldRoutes Coordination:
Prep service routes verify customer and order data and ensure accurate field scheduling.

Scheduling Support:
Coordinate and confirm appointments between customers and field teams; make adjustments as needed to optimize routes and availability.

Zoho CRM Maintenance & Training:
Update and maintain clean records in Zoho CRM. Assist in onboarding and basic team training when new features or updates roll out.

Contact Info Management:
Keep all customer and property manager contact details up to date and accurate across systems.

Google Drive Organization:
Maintain orderly accessible shared folders that support cross-functional collaboration.

Budget Tracking:
Assist in updating monthly and recurring budget metrics using spreadsheets or tracking tools to give visibility into performance.

General Admin Support:
Support team communication maintain internal documentation handle calendar scheduling and assist with cross-departmental coordination.
Qualifications

2 years of experience in customer service operations or administrative support.

Strong verbal and written communication skills.

Exceptional organizational skills and attention to detail.

Proficient with Google Workspace (Docs Sheets Drive Gmail); experience with Zoho CRM or FieldRoutes is a plus.

Comfortable managing multiple priorities in a fast-paced environment.
