Job Description

SUMMARY:

Organize and manage the routine work activities of a warehouse inventory clerk for the Child Nutrition Program. Keep orders of all incoming and outgoing food and non-food supplies to all campuses. Provide clerical services to the department head and other staff members. Assist in the prompt and accurate distribution of all food and nonfood supplies to all the district cafeterias. Work under close supervision and follow established procedures to process food and non-inventory orders and invoices and maintain accounting records.

QUALIFICATIONS

EDUCATION: High school diploma or GED

EXPERIENCE: One year clerical experience; preferably in food service inventory

CERTIFICATES LICENSES REGISTRATIONS:

Certification as required by the Texas Education Agency

OTHER SKILLS AND ABILITIES:

  • Proficient skills in typing keyboarding and file maintenance.
  • Effective organizational communication and interpersonal skills.
  • Ability to operate a personal computer and related software to develop spreadsheets databases and do word processing.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Ability to develop effective working relationships with students staff and the general public.

  • Ability to perform duties with awareness of all district requirements and Board of Education policies.
  • Ability to interpret policy procedures and data. Knowledge of basic accounting procedures. ESSENTIAL DUTIES AND RESPONSIBILITIES

Inventory/Accounting

  1. Maintain Warehouse Inventory for commodities food special diets and events non-food and supply items as required by TDA and district policies.
  2. Detect and resolve problems with incorrect orders invoices and shipments.
  3. Contact district personnel and vendors to correct or obtain information needed.
  4. Supervise and maintain department ledgers collections and reconciliation reports of money deposits.
  5. Log daily deposits on spreadsheet and forwards all receipts to accounts payable.
  6. Distribute petty cash to cafeterias as needed.
  7. Intermediate level knowledge in spreadsheets.
  8. Document monthly account balances for each campus in calendar for immediate supervisor. Food Distribution
  9. Coordinate the distribution of government commodities for the district.
  10. File and maintain copies of invoices from all food vendors.
  11. Submit food orders to the appropriate vendors on a weekly basis.
  12. Assign warehouse driver duties for daily delivery of food supplies.
  13. Receive all supply orders and check for accuracy for distribution.
  14. Keep inventory of all warehouse food supplies.
  15. Maintain close contact with cafeteria managers on a daily basis.
  16. Ensure cafeteria keeps adequate sanitary supplies from district warehouse.
  17. Maintain special diets inventory purchasing and distribution.
  18. Maintain special events inventory purchasing and distribution.
  19. Schedule daily deliveries to warehouse drivers.
  20. Communicate with vendors daily.

Records and Reports

  1. Keep order and vendor records up to date.
  2. Maintain vendor files.
  3. Maintain department inventory records as needed.
  4. Maintain physical and computerized inventory files of cafeteria supplies. Other
  5. Monitor refrigeration and freezer cooler in the warehouse.
  6. Monitoring and maintenance of refrigeration and freezer cooler at all campuses through smartemp devices.
  7. Assist drivers as needed in money bag distributions.
  8. Answer incoming calls direct calls to the proper party or take reliable messages and route to appropriate staff.
  9. Receive sort and distribute supplies to cafeteria staff.
  10. Communicate current status of invoices to vendors.
  11. Prepare correspondence using personal computer or typewriter.
  12. Keep informed of and comply with state and district policies and regulations concerning primary job functions.
  13. Maintain confidentiality of information.
  14. Participate in staff development training programs to improve job performance.
  15. Participate in meetings and special events as assigned.
  16. Exercise professional judgment in absences; is punctual to work meetings and appointments.
  17. Perform other duties as assigned by the immediate supervisor.

Food Preparation and Serving

  1. Prepare quality food according to a planned menu of tested uniform recipes.
  2. Serve food according to meal schedules departmental policies and procedures. Follow required HACCP Food Safety Plan and Texas Nutrition Policy.
  3. Practice and promote portion control and proper use of leftovers.
  4. Supervise storage and handling of food items and supplies. Maintain a clean and organized storage area.

Safety and Sanitation

  1. Operate tools and equipment according to prescribed safety standards.
  2. Follow established procedures to meet high standards of cleanliness health and safety.
  3. Follow required daily weekly and monthly cleaning schedules. Keep garbage collection containers and areas neat and sanitary.
  4. Correct unsafe conditions in work area and report any conditions that are not correctable to supervisor immediately.
  5. Maintain personal appearance and hygiene.

SUPERVISORY RESPONSIBILITIES:

Warehouse Inventory Clerk and Child Nutrition Warehouse Drivers.

OTHER DUTIES AND RESPONSIBILITIES

Performs other duties as assigned by the Director of Child Nutrition or the Assistant Superintendent of Administrative Services.

PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is frequently required to stoop reach stand walk lift pull push grasp talk hear see climb a ladder a minimum of 6 and use repetitive motions. While performing the duties of this job the employee will lift and/or move up to 50 pounds of materials etc. on a daily basis. Specific vision abilities required by this job include close vision such as to read handwritten or typed material and the ability to adjust focus.
